Executive Assistant: Part time
Fast Paced Medical Association Management Company
6 Medical Associations, 12+ conferences annually

Successful candidate will have the following capabilities:
• Compose letters and correspondence using Microsoft Word (Word knowledge required)
—Merge Letters for mass correspondence
—Making conference badges
—Composing Conference materials: ie, Sign in Sheets, daily schedule
—Issuing and recording Continuing education certificates
—Responding to Membership requests
—Membership Application process and credentialing

• Database management using 123Signup (will train you) and Microsoft Excel (Proficient in Excel)
—Pull reports and compiling data on conference events and membership status
—Record membership dues
— Recording Conference Exhibitors payments

• Conference Planning
—Keep yearly calendar
—Prepare Conference Binders and Archive (documentation and records)
—Food and Beverage Budget Planning
—Preparing supplies and conf. materials
—Attending conferences when needed

• General duties
—Invoicing
—Supply inventory

Other Requirements:
—Multitasker
—Good phone skills with professional customer service attitude
—Macintosh (Required, we are a mac shop)
—General understanding of cloud based files and learn our archiving system

Additional skills (Not required but really valuable if you have them)
—Indesign: we design conference materials and there are opportunities for design
—Trello: Conference planning and webmastering is done on this platform

Our environment:
• Part time position with flexible hours. May move to full time position after next year.
• Team works remotely (6 team members). This position is in a home office (large, bright space)

Part time with opportunities for additional hours during conference management.
