Shipments Program Manager 

Description:

MedShare is a humanitarian aid organization dedicated to improving the quality of life of people, communities and our planet by sourcing and directly delivering surplus medical supplies and equipment to communities in need around the world.  

The Shipments Program Manager is responsible for all activities pertaining to MedShare’s container shipments, including logistics coordination, sponsor and healthcare partner communication, shipment workflow and follow-up protocols.  This role is also responsible for establishing and maintaining target inventory levels necessary to support shipment demand.  A successful Shipments Program Manager is a trustworthy professional with a high level of attention to detail and strong international shipping and inventory management experience. Excellent organizational and problem solving skills, as well as the ability to interpret and analyze large amounts of data will also be expected. The ability to function effectively as part of a cross functional team is expected.

Reports to:   Director of Operations, Southeast

Location: Atlanta, Georgia

Duties & Responsibilities:

  • Serve as lead planner and coordinator on container shipments
  • Communicate with domestic and international partners, healthcare administrators, shipment sponsors and others to complete necessary paperwork and arrange shipment logistics.
  • Collaborate with the Development department to support MedShare’s relationship with international partners and assist with prospective and pending container shipments.
  • Review container shipment applications, duty free documentation and identify potential challenges.
  • Guide and assist recipients through the process of online ordering
  • Coordinate with the Biomed department to create equipment lists for shipments.
  • Coordinate with Operations directors to develop shipment schedule and related activities.
  • Work with freight forwarders to prepare and process container shipments.
  • Edit and send out all necessary shipping documents according to destination country requirements.
  • Research and communicate additional requirements found in freight documents or physical cargo receipt.
  • Create and maintain container shipment records in MedShare’s database systems.
  • Send out post-shipment surveys and collect feedback on shipments.
  • Lead weekly shipment staff meetings and serve as point of contact for daily updates on shipment status.
  • Provide shipment data as required for weekly, monthly, quarterly and annual reporting.
  • Establish and maintain a strategic inventory management process to maintain target inventories by category and sub-category.
  • Manage inventory aging to minimize excess and obsolete inventory
  • Collaborate with Programs and Partnerships Manager, Volunteer Operations Manager and others in Operations to help plan the processing of required supplies and equipment to maintain target inventor levels
  • Work on special projects and other duties as assigned.

Requirements:

  • Bachelor’s degree and three or more years’ experience in humanitarian aid, logistics, international shipping, inventory planning, public health or related field. 
  • Experience balancing supply with demand requirements to establish and maintain target inventory levels
  • Basic knowledge of medical products or experience working in a hospital setting a plus.
  • Passionate about improving global healthcare and supporting the environment. 
  • Excellent communication skills a must, both verbal and written.
  • Fluency in English required
  • Fluency in Spanish and /or French a plus
  • Must have a positive attitude and enjoy interacting with diverse groups of people.
  • Hard working, eager to learn, and a self-starter.
  • High level of competency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and internet research. 
  • International experience and experience living or working with diverse groups of people is a plus.
