ADMINISTRATIVE ASSISTANT JOB DESCRIPTION
We are looking for a master multi-tasker with excellent communication, organization, and budget management skills. Candidates should be able to assist BMMA leadership and staff with management of day to day office tasks, organizing internal records, and monitoring and reporting monthly expenditures. Additionally, candidates must be able to generate reports, transcribe minutes from meetings, perform scheduling duties, and coordinate logistics for BMMA initiatives. The ideal candidate should be flexible and adaptable to dynamic working environments, be timely, and maintain professional communication. 

PREFERRED QUALIFICATIONS:

  • Familiarity with Black feminist, human rights, reproductive justice, and/or maternal and  infant health content (prior experience in applying these concepts - a PLUS!)
  • A Bachelor's degree in business administration, public health or a related field and three years of office administration, program administrative or related experience working with coalitions, alliances, and/or national non-profit agencies

  
MINIMUM QUALIFICATIONS

  • 3+ years of experience with grants and contracts management, budgeting, and gathering materials for reporting 
  • 3+ years experience of maintaining spreadsheets and organizational filing systems 
  • Proficient in using the following: Microsoft Office, Google Drive, Gmail, DropBox, Outlook, Docu-Sign, Doodle, Calendly, Canva, WordPress, Eventbrite, MailChimp, ASANA, etc.
  • Demonstrated ability to meet deadlines and respond quickly
  • Excellent verbal and written communication skills
  • Posses a good level of emotional intelligence to work effectively with a small team and skilled in relationship and consensus-building
  • Strong sense of professionalism and reliability
  • Self-starter with proven ability to work independently 
  • Meticulous attention to detail

JOB RESPONSIBILITIES:

  • Maintain Leadership calendar and schedule
  • Triaging general and media inquiries from emails 
  • Managing office supplies and materials 
  • Organizing and maintaining internal files 
  • Scheduling communications with internal and external partners 
  • Coordinating meeting logistics and managing travel 
  • Performing accounting tasks of monthly expenses 
  • Assisting with grants and contracts management and coordination 
  • Perform additional administrative duties as need
