Chief of Staff and Board Secretary (COS)

The Lucile Packard Foundation for Children’s Health is on a mission to raise more money for maternal and children’s health at the Lucile Packard Children’s Hospital and the School of Medicine at Stanford University!  We have many of the ingredients for success, including new leadership at the Hospital and Foundation and many passionate board members.

To get to the next level, the Foundation must become even more strategic and efficient in how we work with our leaders as well as our partners across the University.  The Chief of Staff and Board Secretary is charged with operationalizing our vision to drive more philanthropy to maternal and child health.  She/he will design and roll out the structure and processes to reach the next level with institutional leaders and the board.  The COS must have superb judgment and leadership skills, but also be eager to personally complete numerous tasks and activities.  We have a lean organization and every staff member must be an individual contributor.  The Chief of Staff and Board Secretary reports directly to the CEO and serves on the Senior Leadership Team.

Key Responsibilities:

Leadership Support

  • Provide executive level support to the CEO.  Leverage her time and maximize her effectiveness and ensure progress on all major initiatives.
  • Serve as a thought partner and sounding board.  Inform organizational strategy and decision making.
  • Collaborate with the CEO’s Executive Assistant to strategically plan the CEO’s calendar.  Oversee prep and follow-up for CEO meetings.  Closely track, and often complete, action items from meetings with board members, faculty, foundation staff, and senior leadership of Lucile Packard Children’s Hospital (LPCH), School of Medicine (SOM), and Stanford University.
  • Staff all of the CEO’s 1:1 meetings with the President and CEO of LPCH and the Dean of SOM.  Distribute action items and ensure that appropriate and timely follow-up occurs.
  • Draft correspondence from the CEO to key constituencies including faculty, board members, donors, and prospects; advise on crisis communications and coordinate with the University as needed.
  • Develop talking points and briefings as needed in collaboration with other team members.  Ensure SOM and LPCH leadership receive event briefings in timely way.
  • Assist the CEO in her work with donors and prospects.  Ensure she is well briefed prior to meetings.  Partner with assigned field officer in planning for the meeting and tracking and completing follow-up items.
  • Serve as a point of contact to resolve complex issues and make key decisions regarding strategic priorities.  Prevent bottlenecks and promote decisions when the CEO cannot be present.
  • Create cohesion among teams and departments.  Connect the dots across the organization for improved alignment and engagement.  In addition, partner with the Communications Officer to develop staff meetings and other forums that facilitate staff engagement and promote the exchange of creative ideas.
  • Serve as the Executive Sponsor of the Diversity & Inclusion + Taskforce, and other key initiatives.

Board of Directors

  • Serve as the Secretary of the Board.  Develop a deep understanding of the by-laws, board processes, and committee charters in order to facilitate the board’s governance and oversight responsibilities.
  • In collaboration with the Assistant Board Secretary, set the board calendar and manage board and committee meetings. Convene planning meetings and facilitate the development of agendas for each board meeting.
  • Track, and often personally complete, all follow up items coming out of board meetings.
  • Staff the Nominating and Governance committee of the Foundation board.  Track key action items, prepare meeting briefings and monitor succession planning.  Work with CEO to ensure board recruitment steps are progressing and tracked.  Make recommendations on committee assignments based on board member terms and expertise and committee composition.
  • Develop a mentorship program and oversee the board orientation process.
  • Support the CEO in her work with the Board of Directors and other key volunteers.
  • Work collaboratively with LPCH’s Board Secretary to ensure alignment with their business processes and board activity.

Education, Experience and Skills:

  • Bachelor’s degree and ten years of relevant experience is required.

Experience, skill and ability to:

  • Oversee non-profit board; understand bylaws and manage board calendar and committees
  • Present strong executive presence; enlist and support executives and board members, leveraging their time and expertise to greatest impact
  • Manage complex, time-sensitive projects with shifting priorities and competing interests with poise, interpersonal savvy and exceptional attention to detail
  • Communicate effectively in person and in writing, tailored for the audience and author
  • Make decisions independently and with superb judgment and discretion
  • Enlist and coordinate the efforts of colleagues; motivate and achieve results through influence rather than authority; foster and facilitate collaboration across teams
  • Maturity and sophistication to work effectively with faculty, executives, and community leaders
