Position:         Executive Assistant

Reports To:    President

Job Summary:

The Executive Assistant reports directly to and works closely with the President of Fountain House.  He/she schedules and organizes meetings; assists with board meetings, including luncheon planning, set-up and clean-up; prepares minutes, maintains calendar, keeps track of all appointments; plans and schedules domestic and international business trips, provides necessary office management, coverage and support, as necessary; and any other duties as specified by the President or his designee.  The Executive Assistant has extensive communication and work‑related responsibilities with the Board chair and functions as the liaison with the Board of Directors.  The Executive Assistant has direct contact with donors, volunteers, members, staff and other constituencies. 

Members of Fountain House are adults living with serious mental illness.  While the Executive Assistant will perform a variety of complex administrative duties, interacting with members is an integral part of the Fountain House community.  The expectation is that the Executive Assistant will work closely and collectively with members and staff to achieve the mission and vision of Fountain House, and will foster an atmosphere of collegiality and congeniality that facilitates implementing and sustaining the basic philosophy of Fountain House.  Being comfortable working with and giving direction to our members is crucial, as their daily help is needed to run all operations of Fountain House.  A warm and approachable demeanor is a must.

This is an opportunity for an individual whose passion is to be in a supportive role as an Executive Assistant to the President. 

Job Functions:

  • Experience drafting and editing minutes and own correspondence.
  • Maintenance of records/files; monitor budget; monthly invoice preparation; maintain multiple calendars.
  • Professional demeanor and impeccable ability to work under pressure in an environment where constant interruptions are part of the culture.
  • Strong interpersonal and professional etiquette to work with and interact with board members, executives, staff, members and vendors.
  • Ability to work in an open space area with multiple interruptions.
  • Impeccable ability to multi-task and follow-through.
  • Able to work five hours on Thanksgiving.
  • Able to work in a communal environment and assist in the cleanliness of the Clubhouse.
  • Work closely with the External Affairs department.
  • Other duties, as assigned.

Other Requirements:

  • Must possess current and valid U.S. work authorization and be eligible to work for any U.S. employer without sponsorship.
  • Must have a minimum of 3 years current paid working experience at an Executive Level with the President and/or CEO.
  • BA preferred.
  • Must have integrity and able to maintain high level of confidentiality.
  • Commitment to working in Community Mental Health, non-profit sector.
  • Excellent organizational skills and people skills; as it pertains to developing and maintaining relationships; strong team and collaborative demeanor.
  • Must be detail-oriented, extremely organized and punctual.
  • Positive, energetic, dynamic, charismatic and engaging personality.
  • Strong computer skills:  MS Word, Excel, PowerPoint, database online portal, i.e.; Diligent.
  • Strong command of the English language.
  • Flexibility, as demonstrated by interchangeability with other staff, staying late or arriving early, as necessary.

Salary Range:  $60K - $70K
