Job Details

Position Summary

The Administrative Assistant will provide administrative support to the President & CEO and formally report to the Senior Director for Communications and Technology and provide assistance with ANDP’s Marketing/Communications and Facility Needs.

Position Responsibilities:

Support for CEO (30%)

·         Assist with calendar requests

·         Maintain contact list

·         Assist with booking travel

·         Assist with travel preparations – printing documentation, special reports, reading lists

·         Assist with monthly expense reports

·         Assist with quarterly board meeting and executive committee– food order, printing and mailing board books.

·         Complete registrations for standing meetings and special events

·         Print and assemble reading material as requested

·         Assist with special projects as directed

·         File Management

Support for Marketing & Communications (35%)

·         Assist with event preparations – name tags, guest lists, printed materials, etc.

·         Assist with database entry

·         Prepare and maintain marketing packets

·         Monitor and forward voicemail to main number and hotline

·         Assist with new employee/intern orientation packets

·         Assist with special projects as directed

·         File Management

Support for Facility (35%)

·         Ordering supplies

·         Monitor and maintain copier/printer toner levels

·         Place maintenance orders as directed

·         Work with water filter vendor on quarterly update

·         Monitor and maintain parking card and building access card lists

·         Receive guests and notify staff of visitors

·         Gather and distribute mail daily

·         Receive and distribute arriving packages

·         Assist with special projects as directed

Qualifications:

• Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel

• Ability to analyze and revise operating practices to improve efficiency

• Detail oriented and comfortable working in a fast-paced office environment

• Strong communication skills

• Strong organization skills and dedication to completing projects in a timely manner
