The Development Operations Associate works under the supervision of the Senior Director of Operations, Research & Evaluation and is an integral part of a growing Development team. This position requires a self‐starter who is able to work both collaboratively and independently and possesses strong interpersonal skills. The position requires excellent writing and analytical skills, diplomacy and discretion, and the ability to adapt and think creatively and critically. The Development Operations Associate must be able to manage multiple projects simultaneously, meet deadlines, and be highly detail‐oriented.  This position is responsible for handling calendaring, team project management, and provide administrative support to Operations, Data Services, Research and Evaluation teams as needed. 

Informed by the strategic direction of the Senior Director of Operations, Research & Evaluation, they will provide project support independently and administrative support as needed. They maintain ongoing communication and works directly with the entire Development team, including with Major Gifts, Foundations, Planned Giving, Outreach and Membership Services, Donor Marketing and Engagement, and Finance teams to maintain alignment on cross-departmental projects. These responsibilities include but are not limited to meeting coordination and planning, project management, data entry and hygiene, developing event attendee biographies, cross team portfolio coordination, and other tasks as assigned.  The position requires frequent interaction with staff members across the team and department. 

Responsibilities: 

Administrative Support 25%

  • Provide administrative support to the Senior Director assisting with meetings, scheduling, travel, and other forms of support for the wider team, as needed.
  • With guidance from the Senior Director, maintain and track expenses against project and activity costs, prepare invoices, expenses, and check requests. Participate in department and organizational work teams and projects, as needed.
  • Other duties, as assigned.

Data Management and Analysis 10%

  • Run and distribute a variety of reports, and analysis to inform teams of performance of various metrics
  • Provide support for adherence of procedures for donor portfolios and moves management processes to ensure that all donor moves and activities are recorded according to standards.
  • Provide data entry and data hygiene assistance, including entering and updating donor and revenue records in database.

Project Management 20%

  • In coordination with Operations, Research, and Evaluation staff, manage teem project timelines to keep strategic efforts on time. Develop, research, and implement procedures and systems solutions to ensure the effective use of staff time and available technical resources. Draft and maintain accurate documentation of program workflows and procedures.
  • Represent the Operations, Research, and Evaluation team on working groups with staff from other teams to ensure the coordination and alignment of the cross-teams activities and processes.

Research support 25%

  • Provide the Prospect Development and Research team with support with data entry of gathered data from a variety of resources.
  • Provide support to the research team with gathering information and writing event biographies for staff and volunteers at events.

Operations and Data Services support 20%

  • Provide support to the Operations team as needed with data enhancement and hygiene projects and efforts.
  • Provide occasional support to the Data Services team in order to maintain a quick turnaround time with the processing of donations to the organization.
  • Provide data entry support on an as needed basis.


Qualifications:

  • Bachelor’s degree and prior experience in a development (fundraising) department, non-profit or executive setting preferred.
  •  5 years of relevant experience, or Associate’s degree plus a minimum of seven years of relevant experience preferred.
  • Proficiency with CRMs, donor databases, and/or experience with Blackbaud Enterprise CRM or the Raiser’s Edge highly preferred. Capability to manage complex issues creatively, strategically, and effectively.
  • Strong initiative, self-motivation and flexibility; ability to make sound judgments and independent decisions and work collaboratively as a member of a successful team.
  • Exemplary organizational skills and an ability to develop and effectively utilize systems to manage large quantities of data and details.
  • Demonstrated ability to handle multiple tasks, meet deadlines, prioritize assignments, and work with grace under pressure.
  • Ability to use effective interpersonal skills, discretion, and diplomacy to work and communicate with a diverse group of people, including donors, volunteers, the public, and staff.
  • Superior communication skills, including demonstrated experience in writing effective correspondence.
  • Meticulous attention to detail including excellent attention to data hygiene, strong proofreading and copy-editing skills.
  • Advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint
  • Professional, positive, and approachable attitude.
  • Demonstrates an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
  • Contributes to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences. 

Salary is based on location and experience.
