Job Details

PURPOSE OF POSITION:  Under the direct supervision of the Executive Director, this position provides administrative support for the Executive Director, Assistant Executive Director, and Director of Development; deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization; independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  Covenant House Georgia reserves the right to unilaterally modify, remove, or add to any of the following:

To the Executive Director

  • Read and route correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Confirm meetings and conferences, and oversee the communication of meeting details among all invited parties
  • Assist with organization of both printed and electronic materials
  • Organize all paperwork pertaining to monthly and annual reports, special events, and any other major projects
  • Tactfully screen calls for the Executive Team
  • Manage Executive Director’s monthly expense reports
  • Manage ordering of food, flowers, etc. as requested

Board Meeting Responsibilities

  • Schedule and prepare for all meetings (directions, materials, etc.)
  • Keep board members up-to-date on all business matters
  • Facilitate New Board Member Orientation
  • Keep official minutes for meetings with the Board of Directors and senior staff

Other Responsibilities

  • Assist Development Team as needed during busy season, including special events and holiday drive
  • Support AED and departmental Directors as needed
  • Answer or direct phone inquiries to the appropriate staff member
  • Protect operations by keeping information confidential
  • Contribute to team effort by accomplishing related tasks as needed

In Addition:

  • Uphold Covenant House Georgia standards of conduct, policies and procedures at all times
  • Model appropriate, professional behavior for staff to establish and maintain superior services to youth in a safe and inviting atmosphere
  • Participate in other CHGA programs and activities as required
  • Establishes and maintains an effective working relationship with co-workers, supervisors, representatives of other agencies, and the public
  • Effectively communicates, verbally and in writing, with both internal and external individuals and/or businesses
  • Responds in a timely manner to emergencies and resolve issues
  • Able to:
  • be flexible and a team player
  • work a flexible schedule as needed
  • work standing, walking, and/or sitting a minimum of 8 hours per day/shift
  • drive agency or personal vehicles to transport items and/or persons (valid Georgia Driver’s License with acceptable driving record required)
  • travel as needed for training or to fulfill job requirements
  • Performs all other duties as assigned

SUPERVISORY DUTIES:  Supervises the Front Desk Receptionist

EDUCATION & EXPERIENCE:  Associate’s degree preferred as well as 2 years experience as an Administrative or Executive Assistant, or a combination of education and experience; strong computer, communication & interpersonal skills required.
