Gift Planning Program Manager/Program Associate

At the Lucile Packard Foundation for Children's Health, we are a team of dedicated individuals with a shared commitment to helping kids and families live healthier lives.

• Fundraising for Lucile Packard Children's Hospital at Stanford and the maternal and child health programs of Stanford University School of Medicine.
• Raising awareness of children's health issues.
• Promoting a system of care that improves the lives of children with special health care needs and their families.

Under the direction of the Director of Gift Planning, the Gift Planning Program Manager/Program Associate manages the gift planning program at LPFCH and assists with prospect management, marketing, donor relations, stewardship, gift administration, and other administrative support duties. The Program Manager may supervise the Gift Planning Assistant/Associate.

POSITION DUTIES AND RESPONSIBILITIES

Operational Responsibilities:

Prospect Management

  • Create proposals, gift illustrations and informational packets.
  • Respond to gift inquiries when Director and Associate Director are out of the office and during busy times.
  • Mine the database and works with research department to identify and research new prospects.
  • Mine the database for new prospects working with DAPR to identify and track prospects.
  • Monitor prospect tracking information in Raiser's Edge, the Foundation 's donor database.
  • Lead bi-weekly prospect tracking meetings with Director.
  • Ensure data is entered correctly into Raiser’s Edge to drive Tableau.

Marketing

  • Generate ideas for new marketing materials.
  • Select the audiences for outreach.
  • Manage the relationship with the outside marketing vendor.
  • Write copy for gift planning marketing materials.
  • Help review and edit communications pieces.
  • Create database queries for mailing lists.
  • Coordinate departmental website updates.
  • Oversee Gift Planning Assistant/Associate's management of Allied Professionals’ lists and assists with professional advisor interaction.

Donor Relations/Stewardship

  • Manage membership data for Lucile Salter Packard Society.
  • Develop and manage a stewardship plan for existing planned giving donors, including holiday greetings, small gift items for donors, and a schedule of donor phone calls and visits for the Gift Planning team.
  • Manage Gift Planning donor information in Raiser's Edge.
  • Oversee Legacy Society and Life Income Donor stewardship mailings.
  • Assist Director, Associate Director, and Donor Relations staff to organize stewarding/prospecting events.
  • Support Director and Associate Director with donors whose gifts have closed.

Administrative

  • Work with Development Services team to ensure that all appropriate trust and estate documentation has been received and properly recorded based upon donor intent.
  • Draft estate administration correspondence.
  • Manage estate administration process and progress.
  • Serve as administrative liaison for Gift Planning's investment company TIAA Kaspick which includes handling beneficiary distributions, mailing of annual trust beneficiary reports and processing all donor information changes (address, advisor updates, etc.).
  • Coordinate legal and tax filings related to life income gifts with the Foundation's Finance team.
  • Complete annual budget for Director's review and oversee ongoing departmental budget tracking by Assistant.
  • Work with physicians and staff at Lucile Packard Children's Hospital and Stanford University School of Medicine, Department of Pediatrics, on events, donor inquiries and special projects as assigned by Director.

Leadership Responsibilities (for Program Manager):

  • Lead, coach, mentor and develop direct reports to ensure continuous learning and growth opportunities.
  • Establish individual staff goals and objectives in alignment with and support of, departmental and Foundation goals.
  • Ensure direct reports are trained in their assigned job functions and as back-ups to other positions as appropriate.
  • Provide regular, ongoing, honest and constructive feedback to staff including timely and objective performance appraisals.
  • Promote a work environment where staff feel engaged, valued and can do their best work.
  • Embrace diversity in all its forms to ensure departmental and Foundation staff are treated with respect, dignity and empathy at all times and in all situations.

  • Recommend new approaches, procedures and processes to effect continual improvements in efficiency of department and services performed.
  • Perform other related duties as assigned.
  • Regular and predictable attendance.

EDUCATION, SKILLS AND EXPERIENCE EDUCATION

Required:

  • A Bachelor’s Degree or equivalent related experience

Required:

  • 3+ years’ related experience in research, budget tracking, marketing and administrative support.
  • 3+ years’ experience leading, coaching, mentoring and managing direct reports (required for Program Manager).
  • Expert skills in CRM database management.
  • Exceptional organizational skills with meticulous attention to detail.
  • Ability to be self-directed with a high level of productivity and initiative.
  • Ability to be resourceful and solution-oriented.
  • Ability to exercise good judgement and handle confidential and sensitive information with the utmost discretion.
  • Ability to effectively handle multiple projects simultaneously in a fast-paced work environment.
  • Ability to work collaboratively with key stakeholders and others to ensure quality and success in assigned work.
  • Exceptional interpersonal, verbal and written communication skills, including ability to communicate directly and effectively with others.
  • Tactfulness, flexibility, and creativity when working with diverse population groups (constituents, physicians, faculty, staff, vendors, etc.).
  • Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Ability to produce high quality work with minimal errors. 
  • Ability to work evenings and weekends on occasion.
  • Ability to travel within the Bay Area and long distance as required. 
  • Ability to work effectively independently as well as in a team environment.
  • Ability to be resilient and adaptable in the face of changing priorities.
  • A genuine interest in work that positively impacts children and their health.

Preferred:

  • Previous experience in Gift Planning at a non-profit organization/foundation including prospect research/management, stewardship and donor relations.
  • Knowledge of estate planning.
  • Previous experience working with Raiser Edge and Tableau software.
  • Previous experience using PG Calc.
  • Experience in fundraising for a non-profit organization.
