Texas CASA (Court Appointed Special Advocates) is part of a national volunteer movement that began in 1977 in Seattle when a juvenile court judge conceived the idea of citizen volunteers speaking up for the best interests of children who are in foster care due to abuse or neglect. Today, the CASA movement has evolved into one of the largest volunteer organizations in the country. CASA volunteers are appointed by judges to watch over and advocate for these children in court, school and other settings to make sure they don’t get lost in the overburdened child protection system. Volunteers stay with each case until it is closed with the goal of ensuring these children are kept safe and have the opportunity to thrive and grow.

In Texas, there are 72 local CASA volunteer advocacy programs with nearly 11,000 volunteers serving more than 30,000 children in 219 counties across the state. Texas CASA is the statewide organization that provides funding, resources, training and support to these local programs in order to ensure that they operate effectively and seek out the best possible volunteers who will advocate passionately for the children they serve.

POSITION SUMMARY:

The Database Administrator is responsible for configuration and maintenance of the Texas CASA online data manager (ODM) built on the Salesforce platform. The database stores data from the local CASA programs as well as workflow data for Texas CASA employees working with grants management, performance measures, program operations, fund development and communication. The data are used in reports on performance measures and in reports with financial, personnel and performance measure components to funding entities and to management for decision support. The Database Administrator reports to the Chief Finance and Administration Officer.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Database Management & Reporting:

  • Administer the Texas CASA online data manager (ODM) to configure the Salesforce database that meets documented requirements. Configuration includes, but is not limited to, design (in collaboration with the Data and Research Manager) and creation of database tables (“objects”), data fields, page layouts for data entry, workflows, approval flows, formulas, data views and reports.
  • Maintain the interfaces between the Salesforce platform and third-party applications, including Drawloop, DocuSign, Click & Pledge, Double the Donation, My Emma, Outlook and XL-Connector.
  • Administer the Salesforce database: users, permissions, fields, views, page layouts, record deletions, email templates, workflows, documents and approvals.
  • Respond to and provide ad-hoc data and information requests from Texas CASA employees, local CASA programs and the public.
  • Review and proofread all Texas CASA materials' numerical components to ensure statements are appropriate and accurate.
  • Ensure the integrity of the data and the security of the database.

Program Partnerships & Evaluation:

  • Identify and acquire data from quality external data sources and integrate data into the online data manager (ODM).
  • Collaborate and provide assistance to local CASA programs on the navigation and use of the ODM.
  • Provide orientation and training to Texas CASA staff and local CASA program staff on database access and reports.
  • Personify high customer relations standards in dealing with fellow employees, the CASA network and partner organizations.
  • Document timeliness of data submissions from local CASA programs and data reporting errors.
  • Retrieve data from the database and create error-free, timely standard reports on Texas CASA performance measures for Texas CASA employees, local CASA programs and funders.

Database User Support & Documentation:

  • Assist Texas CASA staff in business process analysis.
  • Discern and document opportunities to improve data collection to monitor and improve local program and Texas CASA performance.
  • Establish and document opportunities to collect data to inform policy, agency strategy, management and procedural decisions.
  • Identify and document workflow modifications that improve workflow efficiency.
  • Back up data to prevent data losses.
  • Other duties as assigned.

  QUALIFICATIONS:   Required:

  • Sixty (60) credit hours from an accredited college or university, including economics and statistics courses.
  • Five (5) years’ experience in data management, data reporting and data processing.
  • Knowledge of relational databases and database administration tools, especially for data report-writing and technical documentation.
  • Strong analytical and problem-solving skills with attention to detail and accuracy.
  • Ability to translate customer requests into actionable database technical requirements.
  • Demonstrated excellence in communications – written and verbal – especially with users having varying degrees of experience using complex data systems. 
  • Understanding of data systems attributes and limitations, and ability to use data to address complex issues.
  • Demonstrated ability to operate effectively in a fast-moving, highly diverse environment, while prioritizing and leading a variety of activities.
  • Highly collaborative style, positive attitude, commitment to continuous improvement and strong work ethic grounded in honesty and integrity.
  • Commitment to diversity and inclusion as well as willingness and openness to learning, growing and having discussions around this arena.

Preferred:

  • Familiarity with Salesforce configuration and reporting tools.
  • Salesforce Administrator Certification.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:

This work will primarily be performed in an office environment requiring ongoing computer use.  The employee may be occasionally exposed to a variety of working and environmental conditions.   This position requires frequent communication in a multitude of settings. Must be able to exchange accurate information in these situations.
