JOB TITLE: Development Associate

POSITION STATUS: Part Time Hourly Non-exempt Employee

HOURS: 20 hours per week on average; additional hours required during busy periods; must be able to work occasional evenings and weekends for concerts and events

COMPENSATION: Competitive and commensurate with qualifications and experience

REPORTS TO: Executive Director

JOB SUMMARY: The Development Associate assists the Executive Director in planning and executing donor receptions, cultivation activities, special events, and fundraising campaigns. The Development Associate also supports the Grant Portfolio Manager to ensure applications and reports are submitted on time, and covers for the Patron Services Manager to handle subscription and ticket sales as well as data entry for donations when needed. Major duties will include event and volunteer coordination, copy writing for brochures and appeal letters, direct mail and email campaign management, and data entry and analysis. The ideal candidate will have strong project management, writing, and verbal communication skills, and fundraising experience.

JOB DUTIES AND RESPONSIBILITIES:

Events

  • Develop, manage, and report on event budgets
  • Manage mailing lists, save-the-date emails, invitations, reservations, name tags, food orders, and seating charts for all events
  • Coordinate food & beverage ordering, delivery and/or pick up, and set up and tear down for concert receptions and donor events
  • Manage reception and event supplies
  • Manage the annual Gala silent auction including appeal letters, in-kind donations, signs, bidding information, and winner packets
  • Record and distribute minutes for Special Events Committee meetings

Fundraising

  • Work with Executive Director to plan, manage, and implement all fundraising campaigns i.e., write copy, create solicitation materials, manage printing and mailing, maintain records, monitor progress, and report on results
  • Provide administrative support to the Artistic Director to enhance major donor relations
  • Record and distribute minutes for Development Committee meetings

Volunteer Coordination

  • Maintain the volunteer list; recruit new participants as needed
  • Manage volunteer communication, training, and supervision for all events and office-related projects

Administration

  • Work with the Executive Director to create the annual development plan and fundraising budget
  • Prepare the Development Report for Board Meetings and provide periodic progress reports on all campaigns and events
  • Create and manage the Development expense budget
  • Provide administrative support to the Grant Portfolio Manager including gathering information, running reports, proofreading, and researching grant opportunities
  • Work with the Patron Services Manager to maintain accurate donor files
  • Create and send acknowledgement letters
  • Cover the phones and process subscription and ticket sales when needed
  • Perform other duties as assigned by the Executive Director or Artistic Director

Qualifications/Experience

  • At minimum, a bachelor's degree in a relevant discipline
  • Proficient with Excel and other Microsoft Office programs; familiarity with Theatre Manager or other CRM systems, and Mailchimp a plus.
  • Strong organization and project management skills
  • Excellent written and verbal communications skills
  • Availability to work occasional nights and weekends as needed
  • Ability to lift up to 25 lbs. on occasion
  • Creativity, ambition, and resourcefulness
  • Passion for music and the arts
  • A sense of humor, positive attitude, and collaborative approach
