Organization Background:

Free Bikes 4 Kidz Atlanta is a non-profit organization whose goal is to collect and refurbish gently used bicycles to give to underserved children who otherwise have no resources to get a bicycle. The Atlanta FB4K team focuses on the underserved areas of metro Atlanta through partnerships with groups such as the United Way and Atlanta Public Schools. Our collection, refurbishing and giveaway season runs from late September through early December of each year. Our 2019 goal is to collect and refurbish 1,000 bicycles, almost doubling the size of our 2018 operation.

Position Description:

FB4KATL is looking for a Program Administrator for the refurbishment season lasting from early September to early January. The Program Administrator will be responsible for the operation and program functions of the day-to-day events. This will include overseeing specific administrative needs of the organization such as updating the budget and coordinating interviews.  The Program Administrator will work in conjunction with the Board and Executive team to ensure there is a smooth and efficient process for the everyday tasks to ensure FB4K is best equipped to serve the community.

90% of the duties and responsibilities (below) expected of the Program Administrator can be accomplished virtually and do not require in-person office attendance or meetings. Visits to the PO box and attendance at sporadic board or committee meetings are the main tasks that would warrant in-person appearances.

 

The duties and responsibilities include (but are not limited to):

  • Reconcile all email addresses from classy into MailChimp list and maintain updated contact distribution lists
  • Enter financial transactions into QuickBooks
  • Update budget with revenue from donations, grants, and square
  • Deposit paper checks into bank account
  • Visit PO box to receive and process mail
  • Attend quarterly board meetings and ad-hoc committee meetings as needed
  • Organize the team google drive into a specific set of folders by year
  • Collect potential employee candidates and create a first pass short list of candidates to interview and coordinate interviews
  • Create and maintain a database where all account login information is stored
  • Complete grant applications
  • Translate action items from meeting notes into to do items in Slack and assign to relevant team members
  • Coordinate any insurance questions regarding any subject other than the warehouse
  • Maintain storage unit inventory & check-in/checkout of contents
  • Update and maintain resource development plan tracking pipeline of grants, sponsorship requests for giveaway day, board campaign, online donations, and corporate sponsorship (bike builds, collections, collection site hosts, employee volunteer groups)

Requirements and Qualifications:

  • Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and Google Drive proficiency is required
  • BA/BS degree preferred
  • Event planning a plus, but not required
  • Project management skills
  • Ability to work with other FB4K leaders (Warehouse Manager, Volunteer Coordinator, etc.)
  • Understanding the goals of a non-profit verses a for-profit operation
  • Excellent communication skills, verbal and written
  • Excellent organizational skills.
  • Patient even when encountering unforeseen issues

Compensation: $15/hour

Schedule: 8-9 hours per week, capped at 33 hours per month
