Play a key role in ensuring a new future for the lives of homeless children and parents by joining the team of Nicholas House as its Administrative Assistant. Nicholas House helps homeless families achieve self-sufficiency by providing a temporary place to live while addressing the root causes of homelessness so they may never become homeless again.

Nicholas House is looking for an energetic and solution focused person to serve in a vital role impacting all areas of the organization as an Administrative Assistant. The position is a critical member of the Development Team who will provide support, organization and follow-up that ensures the smooth functioning of daily operations, organizational infrastructure and specific departmental needs in pursuit of the Nicholas House mission.

 

QUALIFICATIONS

A bachelor’s degree and minimum 2 years administrative assistant experience or a more substantial record of progressively responsible experience as an administrative assistant. Must be a motivated self-starter able to work independently and proactively to find solutions as needed as well as the ability to work collaboratively in a team environment. Must have strong organizational skills, be detail-oriented, able to set and meet multiple deadlines and have excellent verbal/written communication. Should have self-assurance and ability to work well with persons from any background.  Strong computer skills and internet search/use capability needed, as well as experience with all Microsoft Office Suite software with an emphasis on Word, Excel, Access or other database systems. Experience with Salesforce CRM a plus.  Experience in a non-profit organization involved with fundraising campaigns/events and service programs preferred.

DUTIES AND RESPONSIBILITIES

Work collaboratively with others to help move projects and activities forward to completion. Responsible for managing administrative activities and coordinating multiple project areas as assigned by the Executive Director which include but are not limited to:

  • Provides overall support to the Executive Director, Director of Development and development department.
  • Answers phone as needed, responds to the public and addresses initial inquiries from those seeking shelter, organizational partners, sponsors, donors, volunteers and others
  • Processes donor, volunteer, and in-kind thank you notes weekly for mailing
  • Prepares and mails funding solicitations, pledge statements and other bulk mailings as needed
  • Works with volunteer coordinator to respond to incoming volunteer requests or opportunities
  • Maintains CRM database for up to date information on contacts
  • Creates and maintains filing system, calendars and databases
  • Reviews/distributes mail and ensures action items are focused on as needed
  • Proactively maintains or obtains all office supply and equipment needs
  • Manages technology support for telephone, internet and computer systems via self-knowledge, volunteer support or outside vendors
  • Provides support for fundraising activities including event logistics, appeals, and assembly of grant applications
  • Performs other duties as assigned

SKILLS & ABILITIES NEEDED

  • Results-oriented with a passion to make an impact
  • Self-starter with ability to work independently to proactively identify and overcome barriers or find solutions
  • Strong attention to detail, organizational skills and efficient time management
  • Excellent working knowledge of technology, including internet search, Microsoft Office Suite, databases and publishing software.
  • Excellent writing, editorial and verbal skills
  • Can work well in a fast-paced environment and under tight deadlines 
  • Excellent interpersonal skills, enthusiasm and flexibility

STATUS

  • Hourly non-exempt part-time (25 hours per week)

COMPENSATION

  • Competitive salary commensurate with experience
