The Experiential Education Program is designed to introduce students to the theory and practice of professional lawyering skills. Experiential Education includes a range of programs, including the Field Placement Program (FPP). Each semester about 60-80 law students participate in an academic credit program under the supervision of attorneys doing legal work for non-profit and government agencies. The FPP enables students to get hands-on experience in real world environments in the San Francisco/Bay Area, nationally and internationally and provides students with an opportunity to explore their professional identities out in the legal profession. The Program is governed by both American Bar Association Standards for Law Schools and Berkeley Law's academic rules. Consistent with those rules, students who participate in the Program also take a class and/or reflective component in addition to their work and reporting requirements in the field.

 

The Field Placement Program Administrator will support the Field Placement Program, including its Director and the lecturers who teach the courses that accompany the students' field placements. . The Administrator will be supervised by the Director of Experiential Education, and will work closely on a day-to-day basis with the Field Placement Director.

 

The position oversees coordinates and performs the administrative tasks for the full general operations of the Field Placement Program at Berkeley Law.

 

Responsibilities

 

• Administers a defined operational program or activities that may include some of the following functions: student advising, finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety.

 

• Oversees and conducts all of the administrative tasks for the Field Placement Program.

 

• Serves as the administrative point of contact and responds to program inquiries.

 

• Administers the program's application, enrollment and placement processes and independently works to resolve conflicts of moderate complexity.

 

• Processes student applications, monitors student assignments, and ensures all student files are complete for end of semester grading.

 

• Assists lecturers to finalize syllabi and set up and maintain online course pages for the reflective components of the program.

 

• Develops and implements Program orientation and training materials.

 

• Organizes all logistical and administrative aspects of Field Placement Program events of small to moderate size, up to 75 attendees, (e.g. orientation events, speakers, etc.) including but not limited to scheduling, facilitation of communication and services with speakers, technical support, and general project management.

 

• Partners with other individuals, departments and programs (Student Services, Career Development Office, IT, Facilities, and more) to coordinate joint events of up to 300 attendees and promote student success (including public interest welcome, orientation, and graduation).

 

• Provides administrative support and programmatic input to the FPP Director in work on regional, national, and international opportunities to promote experiential education programs and opportunities, including compiling training packets/materials, finalizing agendas and coordinating travel arrangements.

 

• Develops publications and material for Program on campus and off campus usage for purposes of publicity and other informational purposes.

 

• Ensures that web content and presence is dynamic, current, and optimized so as to attract students and potential new field placements.

 

• Partners with Communications Team to create a social media presence for the Program.

 

• Develops a system to manage inquiries from potential students and placements.

 

• Gathers and analyzes financial and other resource data; prepares reports or analyses of operational activities, evaluation of current and proposed services, etc.

 

• Analyzes data and information on current and former field placement semesters and participants - students and placement information—to inform faculty and administration on the status of the program.

 

• Produces documents, reports and analysis of programs as required.

 

• Develops and maintain a system for capturing and tracking institutional memory to document trends of the program.

 

• Manages the student assistants who support the administrative aspects of the Program

 

• Liaises with HR to hire and on-board student assistants and lecturers to support the program.

 

• Oversees the day-to-day administrative duties of the student program assistants and volunteers.

 

• Develops and maintains budgets.

 

• In consultation with Field Placement Director, sets the Program budget.

 

• Administers and maintains the program budget, including developing and monitoring budgetary items and expenses.

 

• Completes and processes all entertainment and travel reimbursements for the Program Director.

 

Required Qualifications

 

• Prior administrative experience.

 

• Experience in event planning.

 

• Excellent computer skills, including proficiency with MS Office and experience with online calendaring systems.

 

• Working knowledge of common computer application programs including Adobe Acrobat Pro, Google Drive applications, and Microsoft Word, Excel, and PowerPoint. Working knowledge of common campus-specific and other computer application programs

 

• Strong oral and written communication skills, active listening, and critical thinking to communicate effectively with all levels of staff, both verbally and in writing.

 

• Excellent interpersonal skills and ability to interact diplomatically with diverse groups and vendors.

 

• Ability to work independently, as well as a team member, and to establish and maintain effective working relationships.

 

• Excellent organizational and time management skills with demonstrated ability to prioritize, exercise initiative and sound judgement, while effectively executing multiple projects with competing deadlines and demanding time-frames.

 

• Must be able to attend occasional evening and/or weekend events.

 

• Ability to use discretion, manage sensitive and confidential information and use discretion and maintain all confidentiality.

 

• Ability to use sound judgment in responding to issues and concerns.

 

Education/Training:

 

• Bachelor's degree in related area and/or equivalent experience/training.

 

Preferred Qualifications

 

• Experience in a legal or educational environment desired.

 

• Experience with computer application programs including WordPress for updating websites.

 

• Experience with campus-specific computer application programs, including BearBuy and Direct Enter Travel and Entertainment System.

 

• Working knowledge of social media platforms and tools.

 

• Commitment to and/or interest in learning more about the legal profession and how experiential learning operate in the law school environment.

 

Salary & Benefits

The position is non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $28.00 - $30.50.
