Departmental Overview

The Office of Annual Programs within the University Development and Alumni Relations department supports UC Berkeley's public mission to provide public education, research and public service by increasing financial support from alumni, parents, students, and friends. The office raises $13-$15 million annually and is responsible for engaging 22,000+ donors and volunteers. The goals of this office are to: 1) significantly raise the amount of discretionary funds for the Chancellor, deans, and program directors 2) identify and cultivate new leadership and major gift prospects, 3) increase the number of annual donors, 4) engage, cultivate, and steward volunteers, and 5) instill a culture of giving among students and recent graduates. Programs include Direct Response Marketing, Parent Philanthropy & Engagement, Milestone & Next Generation Philanthropy, and Leadership Annual Giving. The Parent Philanthropy & Engagement program is specifically designed to raise funds from, and provide meaningful engagement opportunities for, parents and families of undergraduate UC Berkeley students.

 

Under the general guidance of the Director, this position provides comprehensive support for the Cal Parent Philanthropy & Engagement team. It involves supporting, administering, and delivering fundraising and outreach programs for the community of current and past UC Berkeley parents/families. The Development Associate manages a variety of tasks in support of frontline fundraising and volunteer engagement efforts, including, but not limited to: data management and analysis, administrative support, and organizing related programs and events; the Development Associate may also plan, administer, and implement an established fundraising project or program of limited scope and complexity.

 

Responsibilities

 

• Under general supervision, exercises limited discretion and professional judgment in implementing established components for fundraising and alumni/parent relations programs and activities in support of the Parent Philanthropy Office.

 

• Conducts administrative tasks such as completing travel expense reports for traveling fundraisers on staff; records updates in CADS database and periodically runs reports on request; keeps up to date calendaring of meetings and events of office; provides general support of Director and fundraising staff.

 

• Oversees and facilitates monthly stewardship letters and group communications to parent donors.

 

• Schedules and/or coordinates events, such as Parent Board meetings and their accompanying activities and events. Also assists in coordinating and facilitating other events such as Welcome Receptions, Golden Bear Orientation parent events, commencement activities and any other events or meetings that involve current parents or need to be facilitated by the Parent Philanthropy Office.

 

• Drafts informational and fundraising materials for use by the Parent Philanthropy Office, assists in editing and emailing the monthly Ambassador Newsletter in coordination with the Ambassador Assistant Director using Sales Force Marketing Cloud. Also will assist in emailing other communication and newsletters as needed.

 

• Handles special projects/assignments involving direct interaction with alumni/parent volunteers, donors, and various campus fundraising partners.

 

• Conducts research on alumni, parents, friends, corporations, and foundations to identify prospects.

 

• Occasionally will be required to conduct thank you phone calls to donors.

 

Required Qualifications

 

• Working knowledge of fundraising, donor relations, and public relations concepts, principles, procedures and techniques.

 

• Working knowledge of the campus, its vision, mission, goals, objectives, achievements and infrastructure, or ability to learn.

 

• Working knowledge of applicable laws, rules, regulations, policies, et cetera.

 

• Good written and interpersonal communication skills to establish and maintain good working relationships throughout the campus and with external constituencies.

 

• Good organizational, analytical, and critical thinking skills.

 

• Skill to maintain confidentiality.

 

• Intermediate to advanced computer skills including Google Suite and Microsoft Suite applications

 

Education/Training

 

• Bachelor's degree in related area and/or equivalent experience/training

Other Information

Final candidate will be required to successfully complete department specific systems training after hire:

 

• Complete Salesforce Marketing Cloud training and pass competency test.

 

• Complete CADSbase and CADSmart training.

 

• Complete expense reimbursement training.

 

• Understand and be able to complete Bearbuy purchase order directions.

Systems training will be paid by the department.
