ORGANIZATIONAL SUMMARY

EARTH University Foundation is a 501(c)3 public charity that provides financial assistance and other support for the programs and initiatives of EARTH University.  The mission of EARTH University, a global institution located in Costa Rica, is to prepare leaders to contribute to the sustainable development of the tropics, and to construct a prosperous and just society.  The University has 434 students from 36 countries and an international faculty composed of 40 professors with wide teaching and research experience.  Currently, there are 2,329 graduates from 49 countries.  Of these alumni, 80 percent have returned to their native countries and are making significant contributions.  Students receive a degree in Agronomy and Natural Resource Management. EARTH’s ultimate goal is to provide students with the necessary skills and a unique vision that will enable them to return to their home countries, to serve as catalysts for environmental change, and to become leaders who make a lasting impact in their communities. EARTH’s development staff resides on campus as well as in the U.S.

POSITION OVERVIEW

Reporting to the Director of Finance and Operations, the Coordinator serves as the systems administrator for the Raiser’s Edge database and provides support to the Foundation operations.   S/he is responsible for daily database management and routine financial processes and procedures related to the support of the Foundation activities. The Coordinator also arranges travel for Foundation staff and procures supplies to assist in the smooth operation of the office.

The ideal candidate will have a task-oriented work ethic combined with strong organizational, analytical, and communication skills.

 

PRIMARY RESPONSIBILITIES

DATA ENTRY & DATABASE MANAGEMENT

  • Enter all new constituent data and maintain integrity of database by monitoring data entered by staff, using assurance reports as necessary;
  • Accurately fulfill all tasks related to gift processing, including, but not limited to recording gifts, issuing receipts, and acknowledging gifts;
  • Distribute gift and acknowledgement reports to development team;
  • Manage donor files (both electronic and hard copy ) ensuring that files reinforce system standards for use by staff;
  • Maintain established guidelines for data entry and systems usage, coordinating staff training on database policies and procedures as needed;
  • Periodically update the Raiser's Edge user manual and ensure compliance to protect donor information, including personal and financial information, institutional giving history, and communication with EARTH staff;
  • Coordinate with Department of Communications in Latin America to facilitate communication with donors via Mail Chimp;

REPORTING

  • Produce, run, and regularly update queries, exports, and reports;
  • Run monthly and yearly reports, pledge reminders, and other relevant data to assist with general analysis of constituent and donor activity;
  • Compile financial and donor data for Annual Reports and assist with its distribution to the EUF audience;

ADVANCEMENT SERVICES

  • Assist with travel arrangements for development staff, ensuring compliance with the travel policy while working with the Director of Finance and Business Operations to update the policy as necessary;
  • Reconcile expense reports and credit card statements;
  • Manage office supplies, printing, and promotional items;
  • Assist with the annual financial audit and preparation of the IRS Form 990;
  • Assist the Director of Finance and Business Operations with the annual review of accounting policies and procedures, ensuring compliance;
  • Perform monthly reconciliations with the Finance Office.

SKILLS and QUALIFICATIONS

  • Bachelor’s degree plus three to five years of experience in a non-profit organization
  • Must have minimum three (3) years of experience in gift processing and strong database management including queries, exports and reporting skills with a strong preference for Raisers Edge experience
  • Experience in general financial services for a small business and/or non-profit is preferred
  • High proficiency in MS Office suite, especially Word and Excel
  • Advanced analytical, evaluative, and objective critical thinking skills
  • Excellent organization skills with the ability to accurately follow through on multiple assignments with competing deadlines
  • Willingness to take initiative and awareness of when to consult supervisor for direction
  • Attention to detail
  • Ability to handle confidential information appropriately
