We are looking for a highly motivated and results oriented professional to fill the role within the organization of Membership Coordinator

Primary duties will be to support all functions and needs of the membership Department, including point of contact for general members, member mailings, and events.

Responsibilities

Database Management and Analysis:

  • Assist in several aspects of the database, including data entry, report generation, and list generation.

Statistical reporting:

  • Weekly membership stats
  • Statistical and financial reports upon request

Mailing List pulls:

  • Organizational communications (postcards, newsletters, etc.)
  • Cultivation/stewardship efforts (holiday cards, etc.)

Emailing List pulls:

  • Manage all email lists in conjunction with Marketing team for all emails sent to members

Insiders and Members:

  • Fulfill donor benefits (send event invitations and track RSVP’s, track lecture RSVP’s, print reproductions, tours, books, etc.)
  • Monitor Insiders and Membership email inbox

Globally add:

  • Actions (Connect, replacement membership cards, event save-the-dates and invitations, etc.)
  • Attributes (event host committees, event attendance, etc.)

Gift record maintenance:

  • Act as back-up for any gift entry in absence of Gift Services Coordinator and/or Director of Membership

Constituent maintenance:

  • Merge duplicate records and duplicate memberships, ensuring proper connections with Galaxy system
  • Update/edit constituent information as needed (name, address, phone, add/sals)

Database administration:

  • Globally drop memberships (monthly)
  • Assist with various data cleanup projects

Membership Support:

  • Serve as the primary contact for all general membership correspondence, by phone and email providing excellent customer service to members, anticipating and resolving member concerns as needed.
  • Process onsite and online membership sales.
  • Run bi-weekly Commissions report for onsite sales.
  • Assists with Development team when developing Member Perk events.
  • Responsible for strong membership promotion at select public and special events, which may include evenings and weekends.
  • Assist in implementing new strategies for acquisition, retention and upgrades for all membership levels.
  • Additional general administrative duties as assigned to ensure the smooth operation of the department.
  • Other duties as assigned.

Qualifications

  • Bachelor’s Degree
  • Two years of related work experience, preferably of nonprofit development experience
  • Excellent computer skills; knowledge of Microsoft 2010 and CRM software, such as The Raiser’s Edge and/or Galaxy ticketing software
  • Experience in membership solicitation, gift cultivation, special events a plus
  • Strong oral and written communication skills with demonstrated ability to present ideas effectively
  • Strong interpersonal skills with demonstrated ability to work collaboratively and to engage in a public setting
  • Ability to set and meet deadlines with minimal supervision, prioritizing duties effectively and efficiently
  • Ability to work closely and cooperatively with diverse groups of individuals, functioning independently and as a team member
  • Available for evening and weekend coverage, as assigned

  • Satisfactory criminal background check required.
