PRIMARY DUTIES AND RESPONSIBILITIES:

1.            Ensure that appropriate and accurate accounting and membership records are maintained:

  •                 Work with Financial Resource Ministry to ensure adequate control of financial and            accounting activities.
  •                 Prepare and file all necessary external reports (e.g., investment and tax reports).
  •                 Maintain general ledger of church funds, ensuring accurate allocation of funds.
  •                 Prepare internal financial statements (e.g., monthly income statements and balance sheets).
  •                 Ensure congregation is aware of ongoing stewardship opportunities and Planned Giving.
  •                 Assist in the development and preparation of the church budget.
  •                 Oversee accounting and security of offerings.
  •                 Research and evaluate financial commitments and service contracts and lease agreements.
  •                 Maintain current statistics on church membership and ACS database.

2.            Oversee management of church property

  •                 Work with the Building and Property Ministry to ensure safe, adequate and appropriate use of the church facilities.
  •                 Coordinate and schedule use of church facilities.
  •                 Assist Facilities Manager in developing appropriate maintenance schedules 
  •                 Ensure that appropriate and adequate insurance coverage for church property are in place (e.g., property / casualty, liability).
  •                 Oversee Data and IT management.
  •                 Develop and oversee computer operations to ensure that all regular administrative and departmental functions are automated, with data being accurate and readily accessible.

   

3.            Manage administration of church operation

  •                 Work with appropriate committees, officers and leaders as directed to carry out the business affairs of the church.
  •                 Coordinate and monitor purchase of equipment, furniture, supplies and other items.
  •                 Research new procedures, equipment and financial programs designed to strengthen church administration.
  •                 Monitor required insurance coverage for staff (e.g., workman's compensation)
  •                 Supervise Facilities Manager, Director of Food Services, and Office Manager.

   

4.            Work with Food Services Manager to coordinate and schedule foods program.

5.            Work with appropriate committees and leaders to carry out the mission and ministry of the church.

6.            Fulfill any other duties as needed.

 

KNOWLEDGE, SKILLS, AND ABILITIES

The Business Administrator should exhibit the following

  • Proficiency in basic accounting procedures and office and personnel management.
  • Strong organizational skills including the ability to comprehend the total operating picture of the church and to set priorities accordingly.
  • Interpersonal skills which will enable him/her to act as a sounding board, conflict manager, and liaison between the support staff and others in the church office and the congregation.
  • The ability to blend the business management of the church with the programs and ministries of the church.
  • Working knowledge of Excel, Word, and use of ten-key Calculator. Preference will be given to candidates with a basic understanding of ACS.
  • A college degree with at least five years of experience or equivalent experience with a minimum of ten years office management background.
