Member and Volunteer Services Coordinator

Position Summary

The Member & Volunteer Services Coordinator is the primary organizer for the volunteer program, including recruitment, training, retention, and regular communications. The Coordinator also serves as the key customer service liaison for Membership on at least one weekend day and as a supplemental customer service liaison by phone and computer during the week.

Essential Functions

1) Coordinate the Volunteer Program

  • Make sure volunteers are in place at volunteer stations daily and personally assist Greeter and Giant Screen Theater positions when shorthanded
  • Monitor and manage the online calendars for all eligible volunteer roles
  • Make phone calls and send weekly e-mails to fill open volunteer positions
  • Organize volunteer assistance for events and programs held by other departments
  • Maintain open listings with local university job boards and attend recruitment events
  • Schedule and lead volunteer orientations and interpreter trainings
  • Track volunteer assignments and hours in order to provide monthly earned rewards and report on volunteer activities to the administration
  • Plan regular volunteer appreciation events, including potlucks, field trips and awards ceremonies
  • Compose semi-annual newsletters and monthly volunteer spotlights

2) Assist Member Services

  • Answer general questions about membership prices and benefits
  • Answer the main membership information phone line
  • Data entry of new and renewing memberships into Altru membership database
  • Daily management of online membership sales
  • Investigate card issues (lost cards, cards never received) 
  • Develop positive two-way relations with front office staff for the purpose of securing their support of the membership program; i.e. providing good customer service to members, using correct forms

3) Assist Guest Services

  • Answer questions about exhibitions, films and film schedule
  • Handle customer concerns and complaints in regard to membership
  • Answer Guest Services phones as needed

4) Assist Marketing & Communications

  • Make sure lobby signage is placed appropriately
  • Make sure all sign holders in the lobby and by the volunteer station as well as the area behind the information desk are stocked with brochures and rack cards.

5) Support Manager of Member and Volunteer Services

  • Support the Manager of Member and Volunteer Services as needed and/or directed and for Member Events

 

 

6) Other Duties as Assigned

Requirements

 

  • Flexible schedule, will always work at least one weekend day, with occasional evenings
  • 1-2 years of volunteer or docent coordinator experience preferred
  • Non-profit experience preferred
  • Database management experience, Blackbaud’s Raiser’s Edge or Altru a plus
  • Bachelor’s degree or equivalent experience preferred

  • Ability to manage multiple projects
  • Curious, motivated and willing to self-learn
