What began in 1989 as the Making Waves Education Program, an academic afterschool tutoring and support program for 46 5th graders, has evolved into the opening in 2007 of Making Waves Academy, a tuition-free public charter school serving 5th-12th grade students, and the creation of the College and Alumni Program (CAP), which provides a critical bridge between college acceptance and college graduation.

Serving the San Francisco Bay Area since 2013, CAP currently supports nearly 600 low-income and historically underrepresented college students, who we call Wave-Makers, through the successful completion of their degrees, as quickly and with as little debt as possible. CAP serves Making Waves Academy graduates, CAP Bay Area scholarship recipients, and students from the former Making Waves Education Program, as well as Making Waves Academy high school seniors. What makes CAP different is its combination of personalized coaching, financial literacy training, and need-based scholarships. Upon graduation, Wave-Makers are equipped with the skills to build meaningful careers and positively contribute to society.

While nationally only 11% of students from low-income households have a college degree by age 24, 86% of CAP college students are on track to graduate within six years (84% of CAP students come from low-income households, and 78% are first-generation college students). On average, CAP college students needed to borrow no more than $473 in student loans for the 2017-2018 academic year, which is 93% less than the national average of $7,270 in loans borrowed annually by undergraduates.

Position Summary

CAP is seeking a Data & Evaluation Associate based in Richmond to support the program in promoting data collection, integrity, and reporting. As a member of the Program Operations Department, the Data & Evaluation Associate will manage CAP’s Salesforce database, support CAP staff in effectively utilizing the database, conduct internal and external data analysis and reporting, and collaborate with other Making Waves Foundation departments (IT, Advancement, etc.) regarding CAP data needs. The Data & Evaluation Coordinator will bring strong organization, attention to detail, data analysis, and communication skills.

Position Responsibilities

Database Management (40%)

  • Serve as CAP’s Salesforce database administrator
  • Utilizing CAP’s Operating Calendar, develop and oversee data collection efforts and audits, and support staff in ensuring that all data is entered accurately and on time
  • Transfer data to and from other data management systems utilized by CAP and Making Waves Foundation as needed (ex: Academic Works, National Student Clearinghouse, etc.)
  • Implement program and process surveys to obtain feedback from CAP stakeholders
  • Work with a team of CAP Power Users (currently 1 College Coach and 1 College Financial Services Coordinator) to identify frontline staff needs, provide additional training, and coordinate the implementation of changes in the database
  • Work with the CAP Leadership Team, CAP Power Users, and Making Waves Foundation Salesforce Developer to identify Salesforce improvements and support the implementation of changes as approved
  • Collaborate with the Making Waves Foundation Salesforce Developer and/or external Salesforce consultants on CAP projects as needed

Reporting (25%)

  • Run reports, create report dashboards, and design list views as requested by the CAP Leadership Team, Power Users, and staff
  • Produce timely reports in Excel, Word, and/or PowerPoint related to CAP’s Key Performance Indicators (KPIs), as well as Department and Program goals, and provide assistance in interpreting results
  • Organize and maintain CAP’s reports, list views, and dashboards in Salesforce
  • Assist the Director of Operations with reports to the CAP Advisory Board, Making Waves Foundation, Making Waves Academy, and other stakeholders as needed

Training (15%)

  • Support the CAP Leadership team in onboarding and training new CAP staff, and provide ongoing training and troubleshooting support in Salesforce
  • Design and deliver data and database trainings for staff as needed
  • Maintain accurate and updated User and Admin Guides for the CAP Salesforce platform
  • Provide assistance to the CAP Leadership Team in creating and editing reports, analyzing data, and interpreting results
  • Ensure that Wave-Makers have the resources and knowledge necessary to use CAP’s Wave-Maker Community Portal in Salesforce

Program Support (20%)

  • Provide administrative support for the CAP Bay Area annual scholarship application process, including updating and importing applications, creating reports for external partners, and verifying application documents
  • Meet regularly with the CAP Leadership Team, CAP Power Users, and Making Waves Foundation Salesforce Developer to discuss, prioritize, and implement database changes
  • Protect CAP’s data integrity and security
  • Support the CAP Leadership Team with administrative tasks and projects as needed
  • Assist the Operations Coordinator with greeting visitors and answering the phones as needed
  • Attend/staff CAP, Making Waves Foundation, and Making Waves Academy events as assigned
  • Additional duties and responsibilities as needed

Qualifications

Required:

  • Bachelor’s degree and work authorization required
  • 1-3 years of related work experience, including demonstrated data collection and/or evaluation
  • Strong organization, attention to detail, data analysis, and communication skills
  • Demonstrated strengths in analytical thinking, initiative, and follow-through
  • Proficiency in Excel, Word, and PowerPoint
  • Experience in Salesforce or in database administration in a related CRM platform
  • Demonstrated commitment to CAP’s mission to coach our students to graduate from college as quickly and with as little debt as possible while equipping them with the skills and experiences needed to be competitive contributors to the global workforce
  • Demonstrated proficiency and/or growth potential in key CAP Skills for Success: Adaptability/Flexibility, Communication, Planning/Organization/Time Management/Prioritization, Problem Solving/Decision Making, Relationship Building, Self-Development, and Service Orientation
  • Awareness of and respect for cultural, ethnic, religious, economic, and gender diversity
  • Ability to work occasional evenings and weekends for CAP events, as needed
  • Occasional local travel required

Preferred:

  • Experience in Salesforce administration
  • Driver’s license strongly preferred
  • Access to a car strongly preferred

Compensation & Benefits

Salary Range: Starting at $29 per hour, commensurate with experience
