POSITION TITLE: Development and Research Associate
REPORTS TO: Director of Development
DEPARTMENT: Development
STATUS: Hourly, Full Time, Non-exempt

- Strong technical skills, including knowledge of fundraising software (eTapestry preferred), proficiency with Microsoft Office Suite, and ability to learn new software, as necessary.
- Minimum 2 years of gift processing and/or fundraising database management experience preferred.
- Bachelor’s degree in a related field preferred.
GENERAL RESPONSIBILITIES:
- Responsible for gift processing and day-to-day management of the donor database, including accurately entering data, producing acknowledgement letters, and generating fundraising reports and mailing lists.
- Provide research support for individual, foundation, and corporate prospects.
- Act with discretion in handling confidential information relating to the giving history and backgrounds of donors and prospects.
- Maintain donor activity and records for Director of Development and President.
- Provide administrative support for Development Office.
- Provide administrative support for all Development Office special events and initiatives.
SPECIFIC RESPONSIBILITIES:
Gift Processing
- Open and log daily mail, recording gift sources, restrictions, and amounts.
- Enter gifts and pledges into eTapestry on a daily basis, accurately recording all gift details and reporting categories.
- Generate appropriate acknowledgement letter within 48 hours of receipt of gift. Work with Development staff to customize letters for gifts.
- Track pledges and generate pledge reminders according to schedules requested by donors.
- Work with appropriate CVI staff to process and acknowledge in-kind gifts.
- Provide all data necessary for Accounting Department to properly record all gifts.
Donor Records
- Keep electronic and paper donor records up-to-date.
- Monitor accuracy of online gifts, ensuring proper data flow into eTapestry.
- Oversee all donor and prospect files.
Fundraising Reports
- Produce standard and customized donor reports for analysis, direct mail, donor giving history, recognition lists, and other information to support the President, Development, fundraising initiatives, and other departments, as needed.
- Generate and distribute a weekly Gift Report.
- Generate the monthly Fundraising Report and reconcile Development records with Accounting by the 5th working day of the next month.
- Generate and confirm accuracy of any/all donor recognition lists, e.g. CVI Annual Report.
Research
- Research and create relationship and gift history reports, as requested by Development staff members.
- Research and create prospect profiles, as requested by Development staff members.
Administrative Support
- Assist with the grant proposal process, including record keeping and making copies of foundation gifts and reporting instructions for the Grant Manager.
- Create targeted mailing lists and mail merges for direct mail appeals, newsletters, annual report, event invitations, and other mailings.
- Lead donor recognition activities, including new donor packets and donor anniversaries.
- Assist Special Event Coordinator with event execution, as needed.
- Create posters and cards in Braille.
- Work with President’s Office to prepare for Board meetings, as needed.
- Perform other duties, as assigned.
PHYSICAL REQUIREMENTS:
- Ability to lift 20 lbs.
- Ability to sit and/or stand for periods of time
- Ability to travel independently.
