Position

The Executive Assistant to the CEO is responsible for supporting the CEO by providing executive level administrative support.  The candidate will have primary responsibility for by delivering clerical support, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings.

The successful candidate will identify and implement strategies that help to increase the CEO’s productivity, efficiency and effectiveness.

Responsibilities

  • Coordinate executive communications, including taking calls, responding to emails and interfacing with stakeholders
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Prepare internal and external corporate documents for team members and industry partners
  • Maintain an organized filing system of paper and electronic documents
  • Develop and utilize historical information; provide retrieval of information. Record meeting discussions and provide minutes.
  • Arrange corporate events to take place outside of the work place, such as golf tournaments, fund-raising events and staff appreciation events
  • Uphold a strict level of confidentiality
  • Maintains executive’s office supply inventories and equipment
  • Develop and sustain a level of professionalism among staff and stakeholders
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.

 

Qualifications

  • Minimum of 3+ years of experience as an Executive Assistant reporting directly to senior management or equivalent work experience
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Proficiency in collaboration and delegation of duties
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Strong time management and follow through skills with exceptional attention to detail.
  • Exceptional interpersonal skills
  • Friendly, professional, flexible and adaptable demeanor
  • Demonstrated success in implementing and managing calendars and schedules
  • Exceptional communication skills, including both written and oral presentation
  • Ability to work both independently without close oversight, but also a team player who will productively engage with others at varying levels within and outside the organization
  • Customer focused
  • A professional and resourceful style; with the ability to take initiative and manage multiple tasks and projects at one time
