Job Summary: The primary responsibility of the WIOA Grant Coordinator is to manage and implement all administrative aspects associated with our WIOA grants and ensure program compliance to all grant requirements.  Responsibilities and Duties:

  • Work with YouthBuild Philadelphia’s program staff to ensure adherence to the rules and regulations governing the grant-funding;
  • Ensure that participants bring in all required documentation that is needed to be compliant with the grants;
  • Maintain up-to-date paper and electronic files for students on the grants;
  • Ensure that participants complete on-going required paperwork for student files;
  • Collect, input and manage student- and graduate-related data in CWDS database system on a bi-weekly basis;
  • Organize and prepare student data and files for audits;
  • Distribute and manage participant incentives in ways that are compliant with our approved policies;
  • Regularly review YouthBuild Philadelphia policies and procedures to ensure program compliance, consistency and equity;
  • Ensure programmatic compliance to all WIOA rules, regulations and procedures;
  • Inform organization of all relevant WIOA updates;
  • Manage special programming for specific grant-funded students, which includes coordinating incentives, tracking academic progress, and collecting postsecondary-placement information;
  • Manage positive and open relationship with grant funders;
  • Conduct grant-related trainings for staff to ensure compliance;
  • Attend grant-related trainings and meetings, as required;
  • Assist with annual school wide recruitment efforts of potential students for new school year;
  • Participate in the School’s Mentoring Program;
  • Participate in community-service projects, keeping with service ethic of the school;
  • Continue to develop skills through trainings and professional development offered at the school and outside;
  • Collect and analyze internal data for grant and program improvement purposes;
  • Conduct needs analysis for future improvements.
  • Other duties as assigned by the Grants and Data Manager and Chief Development Officer

Qualifications:

  • Bachelor’s Degree and minimum of two years of professional work experience
  • Ability to consistently make good decisions through a combination of analysis, wisdom, experience, and judgment
  • Ability to maintain high level of confidentiality while handling sensitive information
  • Ability to contribute to a team-based environment with strong coordination and communication skills
  • Highly organized, ability to be change agile and a high level of attention to detail
  • Proven ability to work independently and meet deadlines
  • Expertise with Excel, and Google Sheets, including pivot tables and formulas preferred
  • A positive, “can-do” attitude and a passion for education and empowering young adults
