Scope:   Manages the admissions process for Skyland Trail adolescent program. Responsible for managing, supervising, and training the adolescent admissions team. Responsible for  implementing the adolescent’s admissions processes, policies, and criteria for Skyland Trail’s adolescent program, to insure premier service to professional referral sources, clients and families to help provide a smooth transition into Skyland Trail adolescent program. Collaborates with other departments on overall program directions and goals.  

Duties:

Develop and Maintain Admissions Process and Appropriateness of Care of Adolescent Program

  • Develops/ Implements Admissions Process for adolescent program, including communication between potential clients/ family, receiving records, creating assessments, and specialized processes for top referrals 
  • Develops and monitors systems to alert appropriate staff of clinical information to be reviewed and of pending admissions
  • Ensures that new clients are clinically appropriate for Skyand Trail adolescent services and are admitted to the appropriate level of care
  • Assures that all clinical information is being obtained, communicated, and documented in a timely manner and develops new process if problems occur
  • Coordinates with adolescent clinical team on scheduling admissions, Primary Care Assignment, bed availability  and upcoming discharges
  • Manages waitlist and expectations
  • Involved in crises, customer service issues and other admissions issues 

Staff Development

  • Involved in hiring admissions staff for the adolescent program
  • Training admissions staff for the adolescent program
  • Supervise and manage admissions for the adolescent program
  • Run team meetings

Collaboration and Communication

  • Helps to create communication about Skyland Trail adolescent program and admissions process
  • Meets with referral sources including Education Consultants, to inform them about Skyland Trail adolescent program
  • Collaborates with other departments on overall program changes and policies

Clinical

  • Provide information to callers about our program and admission process
  • Schedule and provide tours to clients, families and professionals interested in viewing our programs.
  • Schedule and complete assessments on those interested in being admitted to any of our programs
  • Gather all written documentation required on new clients prior to admission (i.e. previous records, OTC Standing Orders, TB results, H&Ps and Personal Care Home Physician’s report)
  • Keep a written record of all assessments, tours and admissions to our program
  • Enter all intake information into electronic medical records
  • Complete admission paperwork with new admissions and their families
  • Communicate and/or consult with clinical staff about potential admissions 
  • Conduct initial preauthorization for clients whose treatment is covered by Managed Care Organizations (MCOs)
  • Manages data collection and reporting for admissions office information for internal use for weekly/monthly/quarterly/annual reporting
  • Attend appropriate meetings as needed.
  • Perform other duties as assigned

Qualifications:                 This position should hold the following qualifications:

  • Minimum of Masters in Psychology, Social Work, Psychiatric Nursing, Counseling or related field
  • Licensed or Licensed eligible preferred
  • Adolescent experience
