Administrative Assistant
ORGANIZATIONAL OVERVIEW
Georgia Organics is a dynamic and growing statewide nonprofit connecting organic food from Georgia farms to Georgia families. Founded in 1997, the organization is based in Atlanta and led by a board of directors, staff of 16 employees and additional support from consultants, interns, members and volunteers. Georgia Organics has three primary goals to:
- Increase the number of organic and sustainable farmers in rural and urban areas
- Increase the number of children participating in farm to school programs
- Increase the number of Georgians eating organically grown, local food
POSITION DESCRIPTION
Georgia Organics seeks an energetic and task driven individual to serve as Administrative Assistant. This position is responsible for providing administrative and office management support for the whole organization along with direct support to the Executive Director and the Director of Operations. The Administrative Assistant reports directly to the Director of Operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Management
- Provide administrative, logistical, and scheduling support for the Executive Director and the Director of Operations
- Create and guide staff through staff meeting agendas and monthly board reports
- Answer telephones and emails and respond to constituent inquiries
- Meet and greet visitors at the office
- Perform general clerical duties
Office Management
- Manage office supplies and materials maintaining sufficient operating stock
- Manage the postal needs of the organization
- Organize and maintain the front office area and supply room
- Provide administrative support for HR processes
- Provide administrative and management support to the Director of Operations in day-to-day business operations including but not limited to compliance issues, insurance administration, and process improvements
Accounting
- Provide support in accounting by maintaining the check log, reconciling credit card transactions, and processing the general office invoices for payment
- Running and distributing financial reports
- Assist the Director of Operations with the annual audit
- Assist with annual budgeting process with the Director of Operations
Other
- Provide leadership and project management for the annual conference registration process
- Recruit and leverage volunteers to provide additional support to achieve the organization’s mission
- Assist Executive Director or Director of Operations in executing various projects as needed
KNOWLEDGE, SKILLS AND ABILITIES
Required
- Ability to take ownership of the position through proactive initiative and resourcefulness
- Computer literacy and proficiency with Microsoft Office (e.g. Excel, Word)
- Team player with high level of collaboration
- A bachelor’s degree and administrative experience
- Self-motivated, detail-oriented, and highly organized
- Excellent written and oral communications
- Experience working with the public and interacting with a diverse range of people
- Ability to work independently and as a team to successfully complete a wide variety of tasks
- Capability of lifting and moving up to 30 lb. office boxes
- A friendly demeanor and sense of humor
- A commitment to the mission of Georgia Organics
Preferred but not required
- Experience with bookkeeping and QuickBooks
- Project management experience
- Experience with Neon or other CRM software
- Experience with WordPress
- Familiarity with Office 365 Suite
COMPENSATION
The Administrative Assistant is a full-time position working 40 hours a week. Salary is $33,000 and includes health insurance, retirement investment options, and generous vacation.
