The Advancement Events Manager creates inspiring and engaging event-based experiences that strategically cultivate, steward, and solicit donor support for CCA. This lead position oversees all aspects of the school's annual fundraising gala which generates over $1 million in revenue. Additionally, this key manager is integral to the planning and execution of major college-wide events celebrating milestones for CCA's capital campaign and campus expansion.

 

The Advancement Events Manager ensures all event programs tell the story of CCA in a way that aligns with the college's mission and values. This person works independently and in close collaboration with high profile volunteers, trustees, senior management, faculty, and frontline fundraisers to maximize participation and contributions, particularly from individual donors, through a range of event-based engagement activity. The ideal candidate is a strategic, creative, resourceful, and polished events professional who has the ability to work efficiently with sound judgment in a high-pressure, high-volume environment.

 

MAIN RESPONSIBILITIES:

 

Plans and executes cultivation, stewardship, and fundraising events (approximately 15+ events a year). - 35% of time

 

• Manages full scope of event planning and logistics for events including budget, production, vendor sourcing, collateral, invitation and RSVP management, program (speakers, presentations, run-of-show), technical, operational and decor requirements, and on-site execution.

 

• Prepares event budgets and timelines to ensure events are cost-effective, planned for and implemented effectively, and achieve strategic income or cultivation goals.

 

• Works with key trustees, staff, and donors/prospects to plan and execute events that successfully meet programmatic and audience-specific goals for donor groups.

 

• Oversees “night of” tasks for each event, ensuring load-in and breakdown as needed. Trains staff and volunteers to perform event duties such as check in.

 

• Creates effective and appropriate event collateral such as invitations, evites, websites, programs, signage, etc. Writes invitation and remarks copy.

 

• Works closely with Marketing Communications, designers, and other vendors to manage production and tight deadlines for print and digital event assets

 

• Prepares key stakeholders and senior management for their role and participation in events. Ensure proper and timely communication of guest lists, attendee bios, remarks and timelines.

 

• Works closely with vendors (i.e. catering, rentals, etc.) on deliverables and monitors proper usage of CCA facilities.

 

• Ensures all events meet CCA's highest standards of quality and guest experience.

 

Plan and execute CCA's annual gala, the school's major fundraising event. - 35% of time

 

• Responsible for meeting gala revenue goal of $1 million, and working with event chairs to strategically implement plans to maximize and increase revenue year to year.

 

• Works in extremely close partnership with high-level volunteer event chairs in all aspects of event planning, execution, and table/ticket sales and solicitations.

 

• Ensures event chairs, committees, and volunteers have a positive experience working with CCA, inspiring long-standing support and investment in the school.

 

• Works closely with Marketing Communication and publicists to position event to provide maximum visibility and branding for the school.

 

• Consults and negotiates with departments including Facilities, Academic Affairs, Public Safety, etc., on gala plans as they impact operations across the school.

 

Support capital campaign events. - 20% of time

 

• Works with Director of Events and Engagement on execution of major milestone events in support of CCA's major capital campaign and campus expansion.

 

• Consults Individual Giving team on event planning and logistics for small-scale campaign cultivation and donor events as needed.

 

Oversee operational protocols and guidelines for event planning. - 5% of time

 

• Develops extensive knowledge of CCA facilities, how they can best be used for events of various sizes, and has an excellent rapport with facilities staff. Scouts offsite facilities as event venues as needed and works with staff at those venues to ensure a successful program.

 

• Develops excellent relations with vendors (i.e. caterers, decor, print designers) to maximize value and enables economies of scale by planning several events at once.

 

• Uses Raiser's Edge database events module to create mailing lists, track RSVPs, and make relevant notes of donor/prospect involvement.

 

Manage overall Advancement Office events calendar. - 5% of time

 

• Evaluates effectiveness of each event and creates annual operational plan to set goals and events calendar for the year.

 

• Ensures that Advancement events are planned for the most effective day of the week and time of the year and do not conflict with other major events at the school or within the Bay Area philanthropic community or international art community.

 

• Communicates all pertinent details and updates as it pertains to Advancement events to senior management and key stakeholders.

 

MINIMUM REQUIREMENTS:

 

• Bachelor's degree and four years of significant event planning experience, preferably within a nonprofit organization.

 

• Exceptional organizational skills, with the ability to work on deadline, manage multiple assignments at once, and maintain a professional attitude during times of high stress.

 

• Excellent communication skills with demonstrated ability to write articulate, effective correspondence and event materials.

 

• Hands-on, manager-level experience in planning and implementing donor events independently and in partnership with a committee of high-profile stakeholders.

 

• Outstanding leadership and interpersonal skills; proven record of working collaboratively in a team environment.

 

• Strong analytical and budget management experience

 

• Ability to tactfully and effectively interface with senior staff, trustees, donors, and high-profile events guests.

 

• Superior computer proficiency including Microsoft Office, database management (Raiser's Edge experience highly preferred), and online research.

 

• Experience with Adobe Creative Suite (Photoshop, Illustrator) and basic graphic design knowledge preferred.

 

• Must be able to work nights and weekends as assigned for events.
