Academic Affairs Project and Events Manager

Job Description

 

The Lovett School, a coeducational college preparatory school serving students in Kindergarten through Grade 12 in Atlanta, GA, seeks an Academic Affairs Project and Events Manager. This is a 12-month position.

Reports to:  Assistant Head of School for Academic Affairs

Position Summary: Manages projects according to the policies and procedures set by the school. Plans, implements, and tracks specific short-term projects which have a beginning, an end, and specified deliverables for the Office of Academic Affairs, which includes Civic and Global Engagement, Multicultural Programs and Services, Academic Technology, Library, Academic Resource Center, and Assistant Head of School.

Essential Duties and Responsibilities

Calendar and Events Manager

  • Manages the creation of the master calendar in collaboration with senior administrators; maintains master calendar on website.
  • Conducts weekly review of the facilities calendar and master calendar, consulting with appropriate individuals to anticipate and resolve conflicts.
  • Serves as controller for the Facilities Direct module of SchoolDude, monitoring permissions, updating users, and resolving facility requests that are elevated to the controller.
  • Trains new departmental staff that manage the facilities calendar; provides ongoing training and support as necessary.
  • Serves as a primary point of contact for Lovett employees who are coordinating major on-campus events to ensure that all aspects of the event are executed with excellence (e.g. Lovett Learning Institute, Gurian Training, Mathodolgy Conference, Faculty Candidate Open House, etc.).
  • Writes leases and/or third-party agreements for academic events and/or school events that are held in spaces other than arts, athletics, and RWAC.

Project Manager

  • Serves as the New Faculty Orientation (NFO) Coordinator, planning orientation activities/logistics in collaboration with the LS/US/MS and senior administrators. Manages the NFO budget, sets the schedule, executes logistics, and serves as point of contact and host to new faculty throughout orientation.
  • Plans and implements logistics for the SING program. Manages the SING budget, schedules sites and residences, executes all logistics for the smooth functioning of SING. Refines the program, preparation, and focus of SING in partnership with the Director of Civic and Global Engagement and the US Civic Engagement Liaison.
  • Coordinates the US Agape after-school tutoring program, including schedule, drivers, payment, Agape permission forms, and advertising.
  • Coordinates logistics, programs, volunteers, applications, budget, and waivers for global exchanges, which may include the February China or Honduras exchange, WLSA faculty exchange, and WLSA China Summer Internship. Offers additional support for the summer exchanges to Australia, England, and South Africa.
  • Additional projects as time permits in support of the Academic Affairs functions of the school.
  • Administrative support for the Assistant Head of School for Academic Affairs may be required from time to time.

  • 4-year college degree
  • 2 to 3 years planning and/or management experience
  • Experience working at a school or university with an understanding of school culture is strongly preferred.
