POSITION DESCRIPTION
Action Ministries, Inc.
Position Title: Executive Assistant (Part Time Position)
Program Locations Defined: Office location in Atlanta
Reports to: Chief Executive Officer
Position Mission: The Executive Assistant ensures the efficient day-to-day operations of the office, and supports the work of management and other staff.
Evaluator: Chief Executive Officer
Action Ministries Mission: Action Ministries mobilizes communities to address the challenges of poverty by focusing on hunger relief, housing and education.
Duties and Responsibilities include, but are not limited to the following:
Primary Duties and Responsibilities
The Executive Assistant performs a wide range of duties including some or all of the following:
Reception and Hospitality
- Welcome guests and groups hosted by CEO
- Manage central conference room schedule, including table configuration, and hospitality needs
Office administration
- Provide primary administrative support to the CEO
- Use Microsoft Outlook to manage the CEO’s calendar, including setting and confirming appointments
- Make travel, meeting, and other group arrangements for select staff
- Maintain central breakroom supplies, and office supplies for the administrative suite
- Prepare and send mail and courier parcels for senior leadership team
- In conjunction with the Director of Human Resources, help onboard new employees ensuring timely access to appropriate equipment for their position.
- Use Microsoft Office (Word, Excel, PowerPoint, etc) to prepare reports, memos, and documents
Provide Board support
- Support the CEO and senior leadership team to prepare supporting material for distribution
- Ensure the timely distribution of material to the Board
- Support the Board with meeting and other arrangements
- Take board meeting minutes and prepare draft for CEO and Board Chair’s review
- Create action list for management staff from board meetings
Skills, Attributes, & Qualifications:
Education and Experience
- At least 5 years’ experience working with senior level executives
- Proficient computer skills and in-depth knowledge of Microsoft Office
- Experience with eTapestry a plus
- Knowledge of standard office administrative practices and procedures
- Experience with non-profit charitable work (i.e. Board Service or Volunteerism
- Bachelors degree preferred, or 5 years of relevant experience
