Job Details

The Assistant Manager of Donor Records and Stewardship works closely with the Manager of Annual Campaigns and the Development team to ensure the integrity and professional management of contributions and corresponding records in the donor database.  Responsibilities include but are not limited to: data entry and information management; donor and sponsor acknowledgement; donor and sponsor fulfillment; creating and executing weekly, monthly and ad hoc reports; coordinating donor cultivation events; supporting the team on all fundraising initiatives and events; and other duties as assigned.  Directly supports the leadership and key volunteers in their efforts to prospect potential donors, steward current donors and carry out successful solicitation practices and strategies.

Essential Functions

  1. Financial Accountability
  • Supports a $3 million Development Income budget

2) Database Management & Administration

  • Processes all donor gift entry, properly codes and deposits to the Finance Office
  • Tracks and reports on all donor pledges
  • Produces routine and impromptu development reports
  • Prepares monthly and/or quarterly reports for the Vice President of Institutional Advancement and members of the leadership team
  • Routinely updates and cleanses database to maintain accuracy of donor records
  • Creates and helps manage actions
  • Works closely with the Finance Office to reconcile gifts and reports
  • Assists with prospect research when needed
  • Establish cross-departmental alliance with Member and Volunteer Services Office to maintain the integrity of the database and to assure compliance with all database policies and procedures
  • Hosts periodic tutorials on Altru to review methods and policy updates
  • Maintains confidentiality of all constituent records and sets policy accordingly
  • Manipulates queries and exports to extract select data and define segmented mail lists

3) Donor Fulfillment

  • Supports fulfillment of benefits associated with personal gifts
  • Supports fulfillment of benefits associated with sponsor contributions
  • Supports the Manager of Annual Campaigns in fulfillment of donor recognition associated with gifts

4) Donor Stewardship

  • Coordinates weekly gift acknowledgment letters
  • Coordinates quarterly donor pledge reminder notices
  • Coordinates periodic stewardship correspondence to selected donors and organizations as needed

5) Donor Cultivation & Events

  • Support, and coordinate as assigned, cultivation and stewardship events for donors and upper members
  • Support the successful planning A Timeless Affair

 

 

6) Board Giving Campaigns

  • Coordinates Annual Board Giving Campaign Letters
  • Tracks Trustee participation—personal gifts, leveraged gifts and event participation
  • Coordinates Trustee pledge reminders

 

 

7) Other

  • All other duties as assigned

Requirements

  • Two years working in a non-profit environment with demonstrated database experience; experience with Altru and/or RE a plus
  • Experience with creating reports
  • Extremely proficient with Microsoft Office (especially Excel and Word)
  • Bachelor’s degree or equivalent experience required
