Department Summary

The American Immigration Lawyers Association’s (AILA’s) Education Department develops and administers the association's educational programs and events, including continuing legal education conferences, audio and web seminars, online learning content and courses, and conference handbooks and materials. The Education Department also oversees the CLE accreditation program and provides support to members and other practitioners seeking guidance relating to AILA’s educational programming.

Position Summary

The Meetings Associate assists the Senior Associate Director, Conventions and Meetings with the association’s logistical needs for all AILA meetings. This position also assists the Immigration Justice Campaign’s Senior Training Attorney with planning and logistics for Campaign training events.  The position is responsible for pre-conference logistical planning, on-site logistics, including registration, set up, food and beverage arrangements, A-V and other vendors and negotiating contracts for Topics Conferences each year and other conferences as needed. 

Essential Job Functions

Conventions/Meeting Planning Management: Responsible for planning the logistics of the topics conferences and other conferences as needed. Assists Senior Associate Director with the Annual Conference.

Conference Process Management: Manages the conference mailing and shipment processes (prepares registrants badges, conference information flyers, stuffs envelopes and mail out to all conference attendees, coordinates and collect the materials for shipments)

Staff Hotel & Travel Management: Manages hotel and travel arrangements to conferences for staff.  Provides advice on hotel and travel information as requested.  Advises and guides staff on events (NDA, trainings, etc.).

Marketing: Collaborates and guides the Marketing Staff in the logistics planning of the exhibit hall and sponsorships.  Provides hotel, travel, chapter meetings, committee meetings and other logistical details and deadlines for the conference promotional materials.

Education and Training: Four-year undergraduate degree
Minimum Job Requirements: 1-3 years related meeting planning experience.  CMP designation preferred.
