Development Associate

Job Description Summary:

As a member of the Development team, the Development Associate is primarily responsible to help coordinate Inglis fundraising initiatives through special events, gift processing and acknowledgment and in-kind donations. This role will also support individual and foundation giving through the annual fund, major gifts, planned giving and grant programs, with additional support provided to the President/CEO and Executive Team as needed. The Development Associate handles all gift processing and acknowledging; leads coordination of all Development special events and supports the Senior Director of Development with all special event committees; manages the in kind donation process for the organization; serves as the secondary liaison to the Advancement Committee of the Board of Directors; and improves the operating quality and efficiency of the department through coordination of the department budget.

EDUCATION & EXPERIENCE

The successful candidate holds a Bachelor of Arts degree in a related field and three or more years of fundraising experience is preferred, but not required.  Accomplished user of Microsoft Office products including Outlook, Word, PowerPoint and Excel. Working knowledge of additional software such as Adobe, Microsoft Smartsheet and Raiser’s Edge a plus, but not required. A successful candidate will excel in donor relations and customer service and be detail-oriented with strong project management skills. They will apply a careful planning and systematic approach to processes and procedures and demonstrate excellent communication and problem-solving skills. 

ESSENTIAL FUNCTIONS, QUALIFICATIONS & SKILLS:

Process and Acknowledge Gifts

  • Support the organization’s stewardship efforts by accurately and promptly recording all contributions in Raiser’s Edge within 48 hours of receipt
  • Prepare timely acknowledgement letters with accurate and appropriate language within 24 hours of recording in RE. Work closely with other department members on custom acknowledgments as needed
  • Process regular financial reports and partner closely with the Business Office
  • Maintain donor records, both electronic and paper
  • Routinely coordinate with users of other internal databases to maintain accurate records
  • Maintain demographic information for donors and related parties as necessary
  • Support Annual Fund & Stewardship Manager in maintaining data integrity through accurate entry, periodic assessments, etc.

Special Events Lead

  • Maintain a portfolio of special events as the primary logistics liaison and provide pre-event and event day coordination and support
  • Support the Senior Director of Development on special event committees, including Golf Outing and BASH, prepare materials, maintain agendas, attend meetings, and complete accurate and timely minutes.
  • Partner with Development and Communications teams to generate event collateral; including invitations, sponsorship materials, online information, event signage, donor recognition, etc.
  • Support the Senior Director of Development to secure event sponsors, including generating prospect lists, serving as a resource for prospects and sponsors, executing stewardship plans, etc.

Support Overall Fundraising Efforts

  • Support the Senior Director of Development in coordinating the Advancement Committee, including preparing materials, attending meetings and writing accurate and timely minutes
  • Serve as the primary liaison for all in kind donations, coordinating with other Inglis departments as needed to assess need, donor communication, delivery/pick-up and gift acknowledgment
  • Conduct prospect and donor research for the individual giving team and provide additional support as needed
  • Support the Director of Institutional Giving on research for grant opportunities
  • Monitor and answer various phone lines for the department and serve as a point of reference for incoming inquiries. 

Coordinate Donor Engagement Online

  • Serve as the primary resource to integrate online Development strategies with the donor database, Raiser’s Edge
  • Participate in the communication strategy development process and enhance its efforts through donor engagement online, including email, website content and social media. Efforts should support the broader messaging strategies of the Development and Marketing & Communications teams 
  • Support the Annual Fund and Stewardship Manager on online social media strategies and actively partner with the PR & Communications Team 
  • Accurately track online engagement efforts and responses to inform future strategies
  • Serve as the primary point person for the online Tribute Pages, including daily monitoring, approvals, responding to constituent inquiries, etc
  • Ensure that Development website content is accurate and up-to-date. Ensure quality of webpages by copyediting and proofreading to ensure consistent style and brand

Coordinate the Department Budget & Bills

  • Coordinate all aspects of bill paying for the department, working with each member of the department, the Business Office, and other departments 
  • Track expenses and maintain the budget for the department
  • Reconcile expenses monthly with each member of the department and the Business Office
  • Reconcile income monthly with the business office and internal fundraising reports
  • Work directly with the Senior Director of Development on drafting department budgets
  • Maintain all records and files pertaining to expenses

Other Support Services

  • Assist in coordinating mailings for the department, including generating mailing lists, formatting, mail merges and printing
  • Maintain thorough records on projects
  • Manage all online accounts and subscriptions for publications and professional memberships
  • Maintain staff meeting agendas, track and document progress, and help to coordinate next steps
  • Coordinate internal and external meetings, including maintaining the agenda, supporting documentation, room reservations, parking requests, catering, etc.
  • Track and place orders for office supplies 
  • Provide other assistance as necessary
