Description:

MedShare engages a thriving Volunteer Corps of over 22,000 individuals annually in order to fulfill its mission of improving the quality of life of people, communities and our planet by sourcing and directly delivering surplus medical supplies and equipment to communities in need around the world.  The Volunteer Program Manager oversees this program by leading a team of Volunteer Program Associates, supervising volunteers in medical product sorting sessions, completing administrative tasks within the Volunteer Program (i.e. maintenance of the volunteer contact database) and collaborating with other staff to ensure an efficient flow of product to and from the sort room.  The Volunteer Program Manager plays a crucial role in conveying the mission of MedShare to the public and ensuring that products are sorted and prepared accurately in order to be matched with the needs of partnering healthcare facilities throughout the globe. 

Reports To:  Director of Operations, Southeast Region

Location: Atlanta, Georgia

Duties & Responsibilities:

  • Lead 3 – 6 sorting sessions per week, including regular Saturdays. Provide an orientation to volunteers on MedShare and on specific volunteer task instructions.  Serve as a source of support and guidance to volunteers.  Move material as appropriate in and out of sort room.
  • Manage MedShare’s Volunteer Program and direct reports in leading service projects, sustaining community relationships, and strengthening the program to meet strategic goals aligned with the mission and vision of the organization
  • Acquire a thorough understanding of day to day operations and communicate effectively to interested community leaders and key stakeholders
  • Cultivate key partnerships for volunteer, donor, or gift in kind interests, particularly organizations promoting  volunteerism
  • Represent MedShare at volunteer recruitment events and manage postings for volunteer and internship opportunities.
  • Serve as the primary point of contact for all volunteer related matters and collaborate with other departments to fulfill volunteer needs and requests
  • Liaise with Volunteer Program Managers at all MedShare sites to strengthen the program, share best practices, and develop consistency
  • Maintain a robust volunteer schedule throughout the year, respond promptly and professionally to individual and group volunteer leaders, and ensure scheduled projects are well staffed
  • Prepare sorting projects well in advance: ensure requisite materials (labels, boxes, tape, pallets, triwalls, etc.) are available, ensure sorting projects are aligned with inventory and shipment needs, and manage proper flow of all product between the warehouse and volunteer center  
  • Monitor and evaluate the effectiveness of volunteer work, making improvements when necessary to help MedShare’s volunteers do high-quality work as efficiently as possible
  • Ensure the sort room is clean, stocked, and well organized after each sort, as well as maintaining the breakroom area used by volunteers
  • Research and gain familiarity with medical supplies sorted during volunteer projects, take initiative to improve sorting process, and collaborate ideas with each Volunteer Program Manager
  • Manage databases capturing significant volunteer metrics, provide volunteer reports to interested departments as requested, and explore improvements to tracking and managing volunteer data
  • Support and manage end of year physical inventory process and end of year annual reporting
  • Coordinate annual volunteer appreciation and holiday potlucks, as well as provide support for additional MedShare events
  • Work on special projects as needed and other duties as assigned by Director of Operations

Requirements:

  • Bachelor’s degree in the liberal arts, business/nonprofit management, or a medical field (or five years of equivalent work experience).
  • Ability to work flexible schedule including weekdays, evenings and weekends.
  • Previous experience leading volunteer groups and experience serving in a supervisory role preferred.
  • Excellent communication skills a must, both verbal and written.
  • Passion for community service
  • Lifting requirements (maximum amount of weight): 50 lbs.
  • Must have a friendly disposition and a willingness to interact with diverse groups of people.
  • Hard working, eager to learn, and a self-starter.
  • Basic knowledge of medical products or experience working in a hospital setting a plus.
  • Strong computer skills, especially in web research and Microsoft Office.
  • Experience living or working with diverse groups, international experience, or fluency in a second language strongly preferred.
