Job Details

The Development Coordinator/Administrative Assistant is an integral member of the development team. The primary role is to manage the timely processing of donations, gift acknowledgements and pledge reminders. In addition, the development coordinator focuses on prospect research and coordinating the annual fund calendar and drafting copy for print and online donor communications. The development coordinator pulls lists and helps evaluate information with the development team, ensuring accuracy, confidentiality, and compliance with best practices. 

DUTIES AND RESPONSIBILITIES

  • In collaboration with the development team, coordinates the Annual Fund for non-board, board, and corporate
  • Drafts copy for online and mail solicitations and talking points for face-to-face meetings and presentations. 
  • Uses electronic screening and data-mining techniques to identify prospects for major gifts, endowed gifts, special project funding, and annual/sustaining support
  • Conducts research on individual, corporate, and foundation philanthropic prospects according to affinity, ability, and access
  • Provides written reports about specific donors and prospects by synthesizing information from multiple sources into coherent and accurate comprehensive solicitation profiles, standard profiles, and mini-profile reports used to support planning and decision making
  • Maintains policies and procedures for the prospect research initiatives 
  • Manage the gift acknowledgment process, ensuring the timely processing of acknowledgement letters, forms, cards, receipts and premiums across multiple Atlanta Opera fundraising campaigns (Annual Fund Individual and Institutional, Corporate, Non-Renewable Giving, Board, Education)
  • Process gifts, pledges and payments daily
  • Assist donors with gift inquiries, providing information and materials as requested
  • Maintain the integrity of donor records in the Tessitura database
  • Maintain confidentiality regarding all donor records and TAO financial information
  • Manage data entry and tracking, reports, list management, extractions, and other tasks as assigned to provide support to the Development
  • Management and oversight of weekly reports for the Development team including contribution, solicitation and campaign reports
  • Be well informed on all current Opera programs and activities, and the expansion planning objectives of the Opera in order to represent them to prospects and donors

  • Excellent customer service and demonstrated success with face-to-face relationship-building with clients, vendors, donors, or customers
  • Demonstrated organizational skills
  • Superior communication (written/oral) skills required
  • Track record of attentiveness to detail, meeting deadlines, documentation and timeliness necessary
  • The ability to manage multiple tasks and priorities simultaneously with excellent follow-through skills

MINIMUM REQUIREMENTS

  • Bachelor’s degree and commitment to mission required
  • One-two years of experience in hands-on fundraising preferred, with emphasis on the competencies listed above
  • Proficiency with all Office Suite software including word processing, spreadsheets, and presentations
  • Experience managing data
  • Tessitura database experience a plus
  • Position requires evening and weekend obligations during the opera season
  • Ability to sit at a desk for up to and over eight hours per day
  • Ability to communicate using a phone and headset
  • Must perform the functions of the position in a safe manner
