The Immigration Justice Campaign is a collaboration between the American Immigration Council and the American Immigration Lawyers Association. The Campaign is a broad-based project to activate a community of lawyers (and other volunteers with supporting skills) to defend detained immigrants facing removal and to advocate for due process and justice for non citizens targeted for immigration enforcement.

Your Role …
The Campaign Assistant provides a variety of administrative, programmatic, and clerical support to the Immigration Justice Campaign Department to help further the Council’s mission and strategic plan. The Assistant deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.

This is a part-time position working up to 20 hours per week.

Essential job functions of this role include:

  • Reports to the Director and the Deputy Director of the Campaign. 
  • Understands and anticipates the needs of the Justice Campaign team. 
  • Schedules and organizes complex activities such as meetings, travel, conferences, and activities for the department with special attention to the Director and Deputy Director’s calendars. 
  • Establishes, develops, maintains and updates filing system for the department. Retrieves information from files when needed. 
  • Organizes and prioritizes large volumes of information and calls. 
  • Helps to maintain and report on Campaign data as directed. 
  • Perform administrative/clerical tasks as needed, including but not limited to: staff expense reports and reimbursements, note taking for internal team meetings, ordering and maintaining office supplies and technology, ordering and coordinating catering, formatting and preparing documents, etc. 
  • Drafts written responses or replies by phone or email when necessary. Responds to regularly occurring requests for information.  
  • Proofreads documents or presentations for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. 
  • Maintains electronic and paper files including faxing, copying, and mailing courier packages.  
  • Answers phones. Takes messages and fields/answers all routine and non-routine questions. 
  • Acts as a liaison with other departments and outside agencies, including high-level staff. 
  • Handles confidential and non-routine information and explains policies when necessary. 
  • Works independently and within a team on special non recurring and ongoing projects. Acts as project coordinator for special projects, at the request of the supervisor, which may include: planning and coordinating multiple presentations and disseminating information. 
  • Prepares documents, PowerPoint presentations, and other presentations 
  • Performs other duties and projects as assigned.  

Your Background …

Minimum of one year of experience in an administrative position or 3 years commensurate experience is required. Prior experience developing and managing a work plan with multiple projects and deadlines. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
