POSITION SUMMARY DESCRIPTION:

The Senior Director, Annual Meeting is charged with the responsibility of managing the educational content of the ACR/ARHP Annual Scientific Meeting and contributing to the internal annual meeting leadership team by providing input on direction and initiatives under the incumbent’s purview.

Primary responsibilities include working with content experts to develop educational program and overseeing the abstract processes and the coordination of speakers and abstract presenters; and collaborating with the internal annual meeting leadership team to produce one comprehensive activity. The internal annual meeting leadership team primarily includes the Senior Director, meeting services; Senior Director, annual meeting; the director, expositions; and representatives from the information systems department and the communications and marketing department.

QUALIFICATIONS:

  • Minimum of 10 years of experience in national medical association management with expert knowledge of issues related to continuing medical education
  • Bachelor’s degree from an accredited institution or equivalent combination of association experience and education
  • Expert knowledge regarding accreditation requirements as specified by the Accreditation Council for Continuing Medical Education (ACCME), AMA guidelines regarding continuing medical education (CME), and the American Board of Internal Medicine (ABIM) Continuous Maintenance of Certification Program
  • Demonstrated expertise and success in:

DUTIES & RESPONSIBILITIES:

 

  • Manage the development and implementation of the ACR/ARHP Annual Scientific Meeting educational content in compliance with ACCME requirements and the ACR’s practices and policies. Duties includes, but are not limited to:
  • Coordination with the internal annual meeting leadership team to ensure alignment with  educational content and other annual meeting initiatives and take responsibility for contributing to the success of the team
  • Ensure adequate flow of information
  • Contribute to development of detailed action plans
  • Critically evaluate solutions by considering data, precedents, and input from stakeholders; weight and balance information
  • Cooperate and provide support and assistance to team members when they ask for help
  • Hold team members accountable in a positive and support manner
  • Serve as the primary staff liaison for the annual meeting planning subcommittee, the abstract oversight subcommittee, the abstract selection subcommittee and their planning groups
  • Coordinating with the internal annual meeting leadership team to ensure initiatives under their purview are appropriately communicated to subcommittees
  • Coordination  with the annual meeting planning subcommittee members to develop and produce educational program
  • Overseeing the abstract process, including vendor contract negotiations and management and the production of the abstract supplement
  • Overseeing coordination of speakers and abstract presenters
  • Developing and producing annual meeting program/speaker evaluations and needs assessments
  • Working with subcommittee chair/s to establishing agendas for all meetings and calls; preparing background and supporting materials to help facilitate discussion; providing regular communications to committee members; and documenting meetings in compliance with ACR practices and ACCME requirements
  • Facilitating the coordination of information and committee activities between annual meeting planning subcommittee and other ACR committees who contribute educational content to the annual meeting, including  but not limited to - CORC, Research & Training, Quality, Government Affairs, the ARHP, and the REF
  • Facilitating the coordination of information, as it relates to educational content, to appropriate staff liaisons
  • Working with annual meeting planning committee chair to prepare committee nominations and assignments for submission to committee on education
  • Contribute to development and implementation of marketing efforts
  • In coordination with the annual meeting leadership team, establish an annual marketing strategy that generates attendance, promotes attendee satisfaction and aligns with the Colleges goals and image  
  • Coordinate implementation of marketing strategy which includes, but not limited to, the development of promotional materials such as registration brochures, broadcast emails, postcards, news articles, website content, video, signage and other attendee engagement strategies e.g., ambassadors program
  • Oversee production, fulfillment and inventory for attendee printed and electronic materials, including but not limited to, the program book and syllabi
  • Coordinate development of attendee online and electronic resources
  • In coordination with the annual meeting leadership team, establish an annual strategy that specifies user interface and experience and aligns with the Colleges goals and resources
    • Collecting requirements and specifications from appropriate staff liaisons and other stakeholders
  • Based on plan established by the annual meeting leadership team, coordinate development, release and updates of resources, including but not limited to, annual meeting microsite, My Annual Meeting and annual meeting app 
    • Coordinate review and beta testing with appropriate staff liaisons and end users
    • Provide  ongoing status updates to staff liaisons and leadership team
    • Development and management of budget
  • Develop and manage components of the annual meeting budget  including preparing variance reports and coordinating the reconciliation and payment
  • Maintain and analyze registration statistics and use data to make prepare budgets and recommendations to oversight committee/s
  • Management of CME activity files in compliance with ACCME requirements and ACR practices and policies
  • Ensuring the educational needs are linked to the objectives, content, and outcomes and evaluation tools are developed during the planning process
  • Ensuring annual meeting is consistent with the expressed needs of the target audience (s) as prescribed in the ACR’s CME mission statement and identified by needs assessment sources
  • Submitting final activity reports within 90 days post activity to director, continuous medical education
  • Develop and compile annual reports on all educational activities planned by the annual meeting planning subcommittee, the abstract oversight subcommittee, the abstract selection subcommittee and their planning groups with analysis of accomplishments and outreach
  • Evaluating  effectiveness of the educational content
  • Initiating recommendations regarding future program development and implementation
  • Developing project proposals based on identified needs and committee recommendations
  • Preparing written and oral reports and presentations on behalf of subcommittee to the committee on education and the ACR board of directors
  • Provide vice president, education with annual report of the success, challenges or failures of initiatives under the incumbent’s purview along with recommended corrective action to be taken on a going forward basis
  • Manage a staff of three, including two direct reports. Includes, but not limited to, prioritization assistance; project guidance; conducting regular staff meetings; and providing performance feedback
  • Some travel required to fulfill job responsibilities (approximately 3 trips per year)
  • Any additional duties as the vice president, education or the executive vice president may assign
