Job Details
A social change communications agency serving nonprofits, foundations and mission-driven enterprises is seeking a highly competent, detail-oriented Operations and Communications Coordinator to make our work possible. We are looking for a motivated, results-oriented and entrepreneurial team member with integrity; a positive, can-do attitude; commitment to social good; and excellent written and verbal communications skills. Ability to handle multiple tasks is a must. This position will work closely with our team to help social good organizations by ensuring efficient internal operations and smooth day-to-day functions. This non-exempt hourly position will start at 30 hours a week.
Essential Functions Include:
Operations
- Work closely with agency founder to ensure all financial functions run smoothly, including invoicing, expense tracking, accounts payable administration, and accounts receivable administration.
- Work with accountant, payroll and other vendors.
- Ensure smooth “end of the month” transitions as it relates to invoices, time tracking, payroll etc.
- Manage office issues/maintenance needs with equipment such as telephones, computer networks etc.
- Assist with scheduling, travel coordination, and logistical support for meetings.
- Liaison with all team members to ensure appropriate supplies are available; purchase and manage supplies, equipment and inventory.
- Database management: data entry, cleanup/de-duplication, backups.
- Coordinate and ensure all office functions run smoothly, effectively and efficiently.
Communications
- Research and collect information and data for content and communications strategy as needed.
- Help manage events and campaign rollouts, including developing email invitations, managing invitation lists, researching and procuring vendors, performing outreach and more.
- Research media outlets, producers, editors and reporters.
- Help coordinate production of communications materials.
- Coordinate presentation preparations, including speeches and talking points, researching and analyzing information, planning logistics, graphic presentation and overall coordination.
- Other projects as assigned.
Education and/or Experience:
- 1 – 3 years of relevant experience; experience supporting growing teams is preferred.
- Education in business, marketing, communications or a related field preferred.
- Proficiency with Excel/spreadsheets, Google Calendar and Google Docs.
- Excellent writing, editing and proofreading skills.
- Ability to meet deadlines.
- Experience and cultural competency working with diverse communities.

Organizational Relationships:
This position reports to agency founder and will work collaboratively with internal team members. The team member will be integrated into, as appropriate, regular internal communications, meetings and mechanisms to promote ongoing team-building, transparent information-sharing, and alignment with agency values.
Primary Details and Location:
- Wages: $30+/hour based on skills and experience; pro-rated benefits, including health stipend, holidays, paid vacation and sick time.
- Based in Oakland, California; available to work during regular office hours – M-F 9 a.m. to 5 p.m.
