ACCOUNTING ASSISTANT

SUMMARY: Perform accounting and clerical functions to support the Accounting/Finance department. 

REPORTS TO:  Chief Financial Officer

EMPLOYMENT STATUS:  Full-time, Non-Exempt

SPECIFIC DUTIES:  Duties of the Accounting Assistant include, but are not limited to the following:

Credit Card Transactions

  • Enter employee credit card receipts in the general ledger (GL) and reconcile each month.
  • Follow up with employees on any transaction discrepancies, missing receipts, gift card logs, etc.
  • Ensure that all purchases fall within the organization’s purchase guidelines.
  • Organize purchase authorization and receipts due documentation.

Reimbursements

  • Review mobile and mileage reimbursement submissions and submit for review and approval.
  • Follow up with employees on discrepancies, missing items, etc.
  • Organize mileage and mobile reimbursements documentation.

Accounts Payable

  • Enter invoices into the general ledger.
  • Ensure proper backup/approval signatures for all invoices.
  • Enter check requests in GL and ensure proper backup/approval signatures.
  • Follow up with employees on any transaction discrepancies, missing receipts, etc.
  • Maintain and organize check requests and supply requests documentation.

Deposits

  • Record deposits and submit to CFO for review.
  • Reconcile the G/L to donor system monthly and clear any discrepancies.

Accounting Reconciliations/Schedules

        •    Perform, review and/or update the following reconciliations/schedules:

  • Bank reconciliations
  • G/L to donor system reconciliation
  • Petty cash reconciliation
  • Fixed Assets and depreciation schedule

Benefits and Payroll Reconciliations

  • Review monthly invoice and reconciliation provided by HR.
  • Compare against bi-weekly payroll deduction reports and work with HR to clarify any discrepancies.
  • Record benefit and payroll entries into the GL.
  • Reconcile PTO spreadsheet with payroll system reports provided by HR and resolve any discrepancies with HR.

Other:

  • Record journal entries and other transactions in the GL as needed.
  • Enter quarterly departmental expense allocations entries.
  • Assist with financial reporting as needed.
  • Perform reconciliations as needed.
  • Assist with year-end audit and tax filings as needed.
  • Deliver deposits to the bank, as needed.
  • Travel offsite to pick up checks or other documents, as needed.
  • Perform such other accounting, financial, or administrative tasks as may be required.

QUALIFICATIONS:

  • Bachelor's degree in Accounting, Business Administration, Finance, or related field and a minimum of two (2) years of job-related experience.
  • Experience dealing with a large amount of data with accuracy and attention to detail.
  • Proficiency in using a variety of computer software applications, especially Microsoft Office Suite.
  • Strong understanding and experience in using and navigating Excel.
  • Knowledge of office administration procedures and the ability to operate standard office equipment.
  • Excellent interpersonal, verbal, written and organizational skills are required.
  • Demonstrated ability to maintain a high level of confidentiality.
  • Valid state driver's license and proof of vehicle liability insurance and pass a criminal background check.

PHYSICAL DEMANDS:

  • Light lifting of some computer related equipment
  • Must be willing to travel throughout Metro Atlanta

HOURS:

Working hours are generally 8:30 a.m. – 5 p.m., however, it is expected that the Accounting Assistant will work additional hours as necessary depending on report deadlines.
