The Science Program funds research that acquires new knowledge and asks new questions, enables new science through technology, breaks down barriers, and enhances society’s understanding of the inherent value of science. The Program Associate will provide programmatic and administrative support to the Science Program, with primary focus on the foundation’s Emergent Phenomena in Quantum Systems (EPiQS) Initiative (https://www.moore.org/initiative-strategy-detail?initiativeId=emergent-phenomena-in-quantum-systems). The Associate will report to the Program Director of the EPiQS Initiative. EPiQS aims to promote discovery-driven research in the field of quantum materials—solid materials characterized by novel quantum phases of matter and exotic cooperative behavior of electrons. The Associate will also work closely with a Program Officer and provide grant support within the portfolio of fundamental physics as well as stand-alone grants in several other areas of physical science.
- Facilitate coordination of operational grantmaking processes and planning efforts of the EPiQS Initiative.
- Support EPiQS Program Director and Program Officer with review of proposal budgets, management of active grant records, monitoring of grant reports and payments, and communication with grantees and other stakeholders, ensuring high-quality and effective day-to-day running of the EPiQS initiative and other grant portfolios.
- Employ project and grant management tools to manage information on the grant pipeline, including grant requirements, preparing and sending reporting templates for grantees, and tracking payments.
- Support timely decision-making through tracking and analyzing the EPiQS budget allocation, including funding and grantmaking projections.
- Occasionally help organize and schedule conferences, workshops and meetings with members of the grantee community, including arranging travel (meals, lodging, etc.) for meeting participants as needed, managing event expenses and participant reimbursements, etc.
- Coordinate team activities, organize team meetings and calendars, maintain meeting agendas, create and distribute meeting notes and synthesis documents, maintain action items for the team and carry out other administrative duties as requested.
- As needed, collect and organize scientific results of our grantees, including publications, data and other research products.
- Help prepare and run calls for proposals, manage proposal web portal, and help organize grant reviews.
- Develop, solicit, and coordinate updates of website content in partnership with Program Director and internal communication team members.
- Communicate effectively to internal and external audiences regarding our funding activities and apply knowledge about EPiQS, other grant portfolios, and the Science Program when addressing inquiries from the community.
Education and Experience
The ideal candidate will have:
- A Bachelor’s degree (science or engineering field preferred, but not required) and experience in administration and/or project management.
- Interest in basic or applied science (such as physics, chemistry, materials science, environmental science, earth sciences, etc.) demonstrated through work, extracurricular or volunteer activities preferred.
The ideal candidate will also have:
- Strong attention to detail, reliability, and organizational skills.
- Excellent project management and analytical skills.
- A strong team orientation, positive attitude, integrity, self-motivation, and discipline.
- Ability to work independently, self-manage priorities and goals for projects, consistently meet deadlines, and multi-task while working well under pressure.
- Work proactively and take initiative, as appropriate, while consulting with the Program Director.
- Ability to think critically and exercise judgment within defined procedures and practices to determine appropriate courses of action.
- Willingness to ask for help and identify appropriate resources to accomplish tasks, when necessary.
- Strong written, oral, graphic, and interpersonal communication skills (e.g. phone inquiries, presentations, correspondence, and research summaries).
- Proficiency with office productivity software (e.g. Outlook, Word, Excel, PowerPoint, etc.)
