The East Bay Community Law Center (EBCLC) is seeking an exceptional individual to serve as its Facilities Manager. Under the supervision of the Director of Operations, the Facilities Manager has primary responsibility for ensuring the optimal performance of the operational systems and procedures that support the East Bay Community Law Center’s office(s) in Berkeley, CA.  Core areas of responsibility include Operations, Facilities, and IT, as described below. The Facilities Manager works closely with the Human Resources and Clinical Directors to assist with regular employee and student office orientation and IT setup. 

EBCLC is a non-profit legal services organization and the community-based clinical program for Berkeley Law School, committed to increasing justice through education and advocacy and building a culturally diverse workplace, centered on equity. With over 70 staff, 150 law students, and an $8 million annual budget, EBCLC is the largest provider of free legal advocacy in Alameda County, providing multimodal, collaborative, and holistic legal services to over 5,000 clients yearly and engaging in legislative and policy advocacy at the local and state level.

Primary Responsibilities

Operations 

  • Assist Director of Operations in reviewing and evaluating the effectiveness of current facilities management strategies and activities, and implementing changes to improve efficiency and cost effectiveness
  • Consistently reinforce operational procedures and practices that ensure alignment with EBCLC’s mission, vision, and values
  • Assist Director of Operations in updating and regularly communicating EBCLC’s general office policies and procedures to staff and students
  • Responsible for monitoring and purchasing office supplies, equipment and furniture, within overall budget guidelines
  • Responsible for monitoring organizational and program publication orders and subscriptions

Facilities

  • Manage facility by conducting daily walkthroughs to identify maintenance and repair needs, as well as possible safety concerns, and respond to questions and issues raised by staff
  • Oversee the functioning of all building systems including mechanical, electrical, plumbing, telephone, trash and recycling services and manage preventive maintenance schedules
  • Act as liaison with tenants for commercial property owned by EBCLC and ensure required repairs & maintenance are provided as approved by Director of Operations
  • Direct and supervise outside contractors, vendors, and service providers to perform all needed upkeep, maintenance and repairs 
  • Assist Director of Operations in the development, implementation, and regular communication of workplace safety and OSHA-required Health and Safety plans 
  • Responsible for employee and clinical student office orientations, seating and phone extension assignments, and ergonomic assessments
  • Coordinate and monitor kitchen cleaning schedule

IT 

  • Interface with Berkeley Law School IT staff for ongoing computer support needs while acting as first responder to staff and student computer and software issues
  • Maintain inventory of computer equipment provided to employees for work purposes
  • Work with Director of Operations and Berkeley Law School IT to clarify and communicate appropriate policies and procedures for the use of computer and network equipment at EBCLC
  • Work with Human Resources Director to coordinate new employee and clinical student on- and off-boarding (i. e. access to operating systems, email, etc.)
  • Coordinate technology training for staff and students as needed
  • Assist with equipment set-up for various on-site meetings and trainings

Minimum Qualifications

  • Minimum 2 years of facilities management and IT support, ideally in a social or legal services organization.
  • Demonstrated skill in the areas of process improvement, decision making, planning, and analyzing information
  • Strong interpersonal skills, flexibility, and emotional intelligence, including the ability to work under pressure in an empathetic, patient, and professional manner, both independently and as part of a team
  • Excellent organizational and time-management skills and attention to detail; ability to multi-task and set priorities
  • Demonstrated proficiency with computers, Microsoft Office, and Google Docs. Able to pick up new computer and software skills quickly. 
  • Strong verbal and written communication skills
  • Ability to work effectively and non-judgmentally with a diverse range of people, including people with physical, mental, and emotional disabilities, people in crisis, low-income people, people of color, law students, attorneys, and service providers

Salary and Benefits

Starting salary for this exempt position is $50,000 - $70,000 based on number of years of prior relevant experience, as dictated by the EBCLC salary scale.
