The Special Events Coordinator is responsible for the planning and execution of events in the Development Department and major school-wide events as well as support the Alumni Program, Student Ambassador Program and Graduation.

Reports to: Associate Director of Development
Department: Development Office

Events Duties and Responsibilities

  • Work with Development Staff to plan large and small cultivation gatherings, meetings and receptions for both capital and annual campaigns (Back to School Picnic, Grandparents Day, New Parent Dinners, 1984 Club Party, and Leadership Dinner)
  • Plan Spring Benefit logistics from conception to final event breakdown
    • Manage day of event logistics for Spring Benefit
    • Support volunteer chairs/ volunteer council in effectively planning and executing the Spring Benefit
      • Solicit for silent auction, live auction and event sponsorship
      • Manage marketing, catering, decor and ticket sales
  • Monitor budgets, track revenues and expenses of events
  • Establish and maintain vendor relationships for AIS events
  • Produce event communications in coordination with Communications Manager and Webmaster to promote events within the AIS community and to the general public utilizing print, web-site and other social media outlets
  • Work with school administration, trustees, and lead volunteers to recruit additional volunteers as needed for school events
  • Work with supervisor to appropriately set event goals and budgets for each fiscal year
  • Act as Parent Organization event liaison for implementation of signature events 
    • Attend meetings and take an active role with signature events
  • Develop and manage sponsorship and vendor relationships in conjunction with various events
  • Work with Director of Alumni Relations to plan all Alumni Events/Reunions and Parent of Alumni Events (including the Alumni Speaker Series)
  • Assist with Graduation duties as assigned

Skills and Requirements

  • 2-3 years of Event and Sponsorship experience
  • Proven track record of organizing, managing multiple projects and working collaboratively to meet deadlines
  • Experience in handling high-level donor events
  • Strong professional competence and credibility to support confidence and trust, internally and externally
  • Ability to cultivate corporate sponsors and manage fulfillment
  • Knowledge of fundraising ‘best practices’ and nonprofit management
  • Experience working in an Independent School preferred
  • Volunteer management experience required
