SUMMARY

The Payroll/Benefits Assistant is hired by the CFO and reports to the Controller.  This position is responsible for payroll and benefits management.

SCOPE OF RESPONSIBILITY

This position is responsible for the stewardship of Marist School resources through payroll and benefits processing, employee communications, and maintenance of employee records.

ESSENTIAL FUNCTIONS

  • Serves as communication point for the Business Office.  Greets employees and visitors, assists them with requests when applicable, or directs them to the appropriate team member.
  • Process payroll twice monthly.  Also collect and record timesheets for appropriate employees.
  • Ensure accuracy of all scheduled deductions including retirement match and healthcare
  • Responsible for organization of HR department files.  Ensures files are kept in compliance.
  • Handles all payroll and benefit change forms for new hires, active employees and terminated employees.
  • Assist in new employee on-boarding process and terminated employee off-boarding process.
  • Assist with annual open enrollment process.
  • Complete Verification of Employment for all employees
  • Complete annual EEOC reporting requirements
  • Complete ACA reporting requirements
  • Verify accuracy of federal payroll tax reports submitted by payroll provider, including W-2s
  • Coordinate retirement and other employee meetings related to benefits
  • Reviews and suggests revisions to employee handbook annually, with additions, as necessary, of compliance with new regulations
  • Develop and manage the wellness program for employees
  • Plan and execute annual employee Wellness Fair
  • Complete journal entries to record payroll
  • Reconcile 941s to General Ledger quarterly
  • Calculate and reconciles amounts due to respective vendors and submits invoices with appropriate documentation as required
  • Track employee loans and reconcile monthly, including GOAL loans
  • Track employee advanced degree payments and faculty awards
  • Prepare and complete community coach contracts, prepare information for coach meetings and maintain updates to spreadsheets tracking payments
  • Coordinate with department chairs to track employee leave
  • Oversee student work-study program
  • Liaison with property and casualty broker on annual renewal information; submits property claims and coordinates payment of claims for damage; coordinate with school nurse on workers compensation claim payment and offsets
  • Fulfill petty cash reimbursement requests
  • Travel to bank to deposit cash and replenish petty cash supply
  • Assist in front desk coverage when necessary
  • Other duties as required

QUALIFICATIONS

  • Bachelor’s Degree in Accounting, Human Resources, Finance or related field.
  • 3-5 years of Human Resources and payroll experience preferred; lesser experience be may considered, experience in the school environment is preferred.
  • Ability to work both independently and collaboratively;
  • Ability to maintain strict confidentiality of employee and school information at all times
  • Excellent organizational skills required with the ability to be resourceful, multi-task and handle multiple deadlines at the same time.
  • Excellent employee service skills, including the ability to be sympathetic to employee concerns.
  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and follow through required.
  • Ability to be proactive and handle routine tasks in advance as well as do whatever it takes to get the job done.
  • Excellent knowledge of Microsoft Office Suite, especially Excel and Word.
  • Experience with payroll software required. Experience with Paycom and Blackbaud Financial Edge NXT software preferred, but not required.

The hours for this position are generally 7:30 a.m. to 4:00 p.m., Monday through Friday. This is a year-round, staff position.
